Full Job Description

Duties Description As a member of the Public Information Unit, the duties and responsibilities of the Assistant Public Information Officer include maintaining the agency’s grant programs, assisting in public outreach and communications, supporting County Boards of Elections, and general office administration.
Maintaining the Agency’s Grant Programs

Manage the Board’s state and federal grant programs by working with local Boards of Elections to ensure grant funds are utilized in compliance with federal and state requirements;
Review all incoming grant documents and claims for payment;
Work with state agencies and Board of Elections staff to ensure payments are made in a timely manner;
Communicate with outside agencies including the Office of General Services and Office of the State Comptroller regarding grant reimbursements and contracts;
Work with the Secure Elections Center to assess allowable security and technology related expenses.

Assisting in Public Outreach and Communications

Ensure the accessibility and availability of documents on the Board’s public website as well as County Board of Elections websites;
Provide information to voters and members of the public regarding upcoming elections, registering to vote, requesting mail ballots, and other voting related matters;
Responding to public inquiries including phone calls and emails with guidance from the Public Information Director and Deputy Director.

Supporting County Boards of Elections

Support County Boards in their work of running secure elections in New York State by providing assistance in administering military and overseas ballots, returning federally required surveys, and other activities as directed by the Public Information Director and Deputy Director.

General Office Administration

Provide administrative support for the Public Information Office;
Assist in the copying and filing of various documents in the appropriate location and maintain filing systems;
Assist with intake of incoming mail and sending of outgoing mail while maintaining secure mail procedures;
Assist in compiling documents for Freedom of Information requests;
Assist in completing data entry to fulfill National Voter Registration Act requirements;
Assist the Public Information Office with additional tasks as time permits.

This position requires the ability to handle sensitive matters in a confidential manner. It also requires proficiency at Word, Excel, Adobe Acrobat, and the routine use of email and a multi -line phone system.

Minimum Qualifications Minimum Qualifications
A college degree in communications or political science is preferred. One year of experience in an office setting. College or business school studies/training may be substituted in whole/part.
