HOA Community Manager / Account Executive
We are seeking an experienced, organized, and highly responsive HOA Community Manager / Account Executive to oversee the day-to-day management of a portfolio of homeowners associations.
The Account Executive will serve as the primary liaison between HOA Boards of Directors, homeowners, vendors, and our management team. This is a Board-facing position responsible for developing strong relationships with assigned Boards, attending evening Board meetings, overseeing community operations, managing budgets and financials, delegating administrative tasks, and ensuring that Board directives and community needs are followed through to completion.
The Account Executive will work closely with a Property Administrator (PA) who handles many of the administrative and day-to-day tasks associated with the assigned communities. The ideal candidate is a strong leader who can delegate effectively, stay organized, communicate professionally, and take ownership of their communities.
Schedule & Office Hours
Our standard office hours are:
- Monday – Thursday: 8:30 AM – 5:00 PM
- Friday: 8:30 AM – 2:00 PM
This position requires a consistent office presence, as well as flexibility for property inspections, vendor meetings, Board meetings, and other community-related responsibilities.
Evening Board meetings are required based on the meeting schedules of assigned communities.
Communication Expectations
The Account Executive is expected to provide professional, timely, and responsive communication to Board members, homeowners, vendors, and coworkers.
- Return homeowner phone calls and emails within 48 hours.
- Return Board member phone calls the same day whenever possible and no later than 24 hours.
- Maintain professional, timely, and courteous communication.
- Utilize the company's phone system for all business calls.
- Personal cell phone numbers are not provided to homeowners or Board members. Our phone system allows calls to an employee's extension to ring through to their cell phone when they are away from their desk.
- Maintain appropriate documentation of significant homeowner and Board communications.
- Keep Boards informed regarding outstanding issues, projects, vendor concerns, and community matters.
HOA & Board Management Responsibilities
The Account Executive will serve as the primary point of contact for assigned HOA Boards and will be responsible for the overall management and oversight of their communities.
Responsibilities include:
- Serve as the primary liaison between HOA Boards, homeowners, vendors, and Blue Door Realty.
- Build and maintain strong professional relationships with Board members.
- Attend regularly scheduled evening Board meetings.
- Prepare for Board meetings and ensure meeting materials are complete and available.
- Prepare meeting agendas and coordinate Board meeting packets with the Property Administrator and appropriate team members.
- Follow up on Board decisions and ensure assigned tasks are delegated and completed.
- Delegate appropriate administrative and day-to-day tasks to the Property Administrator.
- Keep the Board informed regarding the status of projects, homeowner concerns, vendors, and outstanding tasks.
- Respond to homeowner concerns and complaints that require Account Executive involvement.
- Prepare and distribute community-wide communications as needed.
- Coordinate annual meeting notices, ballots, and quorum tracking with the appropriate administrative staff.
- Review and oversee architectural requests and ensure they are processed in accordance with community requirements.
- Maintain accurate records and appropriate documentation for assigned communities.
- Ensure the Association's governing documents, policies, and Board directives are properly followed.
Financial Management & Board Budgets
The Account Executive will work closely with the Board and accounting team regarding the financial management of assigned communities.
Responsibilities include:
- Work with Boards and the accounting team to prepare and develop annual operating budgets.
- Meet with Boards to discuss proposed budgets, financial needs, and community priorities.
- Assist Boards in understanding their community's financial position and operating needs.
- Review monthly financial statements for accuracy and identify questions or concerns for follow-up.
- Approve community expenses in accordance with company procedures and Board-approved budgets.
- Review financial information with the Board and provide appropriate explanations and recommendations.
- Work closely with the accounting team regarding questions, discrepancies, documentation, and financial requests.
- Monitor community spending and assist Boards with maintaining financial accountability.
- Help identify upcoming capital projects, maintenance needs, and reserve-related expenses.
Vendor & Contract Management
The Account Executive will oversee the performance of community vendors and ensure that contracted services are being completed appropriately.
Responsibilities include:
- Obtain competitive bids for community projects and services.
- Coordinate and oversee vendors including landscaping, pool, maintenance, gate, and other service providers.
- Ensure contracted work is completed according to agreed-upon standards, scope, and schedule.
- Hold vendors accountable for incomplete or unsatisfactory work.
- Maintain professional relationships with community vendors.
- Assist with vendor contract negotiations and renewals when appropriate.
- Follow up on outstanding vendor projects and ensure work is properly documented.
- Communicate vendor performance concerns to the Board and management team as appropriate.
- Coordinate larger maintenance and capital improvement projects from initial bid through completion.
Property Inspections & Compliance
The Account Executive will conduct monthly property inspections for assigned communities.
- Conduct monthly inspections of assigned communities.
- Identify maintenance concerns, common-area issues, and items requiring Board or vendor attention.
- Document inspection findings and coordinate appropriate follow-up.
- Communicate maintenance concerns to the Board and appropriate vendors.
- Coordinate necessary repairs and follow up to ensure completion.
- Monitor the condition of community amenities and common areas.
- Work closely with vendors regarding landscaping, maintenance, pools, gates, lighting, parks, and other Association property.
Violation enforcement is handled by a dedicated Compliance team. The Account Executive will work with the Compliance department when community violations or enforcement issues require Board or management involvement but will not be responsible for conducting routine violation inspections.
Property Administrator PartnershipThe Account Executive will work closely with an assigned Property Administrator, who is responsible for many of the administrative and day-to-day tasks associated with the community portfolio.
The Account Executive will:
- Clearly communicate priorities and deadlines to the Property Administrator.
- Delegate administrative tasks appropriately.
- Review the status of outstanding tasks and ensure deadlines are met.
- Provide direction and support when issues require Account Executive involvement.
- Review communications and documentation as appropriate.
- Work as a team to ensure Boards and homeowners receive timely and accurate service.
- Take ownership of higher-level Board, financial, vendor, and operational matters while allowing the PA to manage appropriate day-to-day administrative responsibilities.
Community & Board Relations
The successful Account Executive will be comfortable working directly with HOA Boards and helping volunteer Board members navigate the responsibilities of running their communities.
Responsibilities include:
- Develop strong working relationships with Board members.
- Attend evening Board meetings.
- Assist Boards with understanding their governing documents, policies, budgets, and community responsibilities.
- Help Boards prioritize maintenance, financial, and operational needs.
- Provide professional guidance while respecting the Board's authority and decisions.
- Communicate difficult or sensitive information professionally.
- Assist with community meetings, annual meetings, and special projects as needed.
- Help Boards stay organized and informed regarding ongoing community matters.
General Office Expectations
This is a hands-on management position that requires organization, accountability, and the ability to manage multiple priorities.
Account Executives are expected to:
- Maintain a consistent office presence during scheduled business hours.
- Effectively manage their calendars and competing priorities.
- Stay organized and follow through on commitments.
- Communicate proactively rather than waiting for issues to escalate.
- Work collaboratively with Property Administrators, Compliance, Accounting, vendors, and other members of the management team.
- Take ownership of assigned communities and ensure issues are followed through to completion.
- Attend evening Board meetings as required.
- Maintain a professional and positive attitude when dealing with challenging situations.
Ideal Candidate
The successful candidate will be:

- Confident leading Board meetings and discussing community issues.
- Comfortable preparing and discussing budgets and reviewing financial statements.

- Comfortable conducting monthly property inspections.
- Experienced in managing vendors and holding contractors accountable.
- Able to delegate effectively and work collaboratively with a Property Administrator.
- Detail-oriented with strong follow-through.
- Professional, dependable, and able to work independently.
- Comfortable handling difficult conversations and resolving conflicts professionally.
- Willing to take ownership of assigned communities and see projects through to completion.
- Able to balance Board relations, financial oversight, vendor management, inspections, and daily operational needs.
Compensation & Benefits
Salary: $55,000 – $65,000 annually, depending on experience and qualifications.
