Full Job Description

Most billing jobs are order taking. This one is a puzzle.

When a family loses their home to a fire, we are the company that shows up and saves everything that can be saved: clothing, furniture, electronics, artwork, documents, the things insurance money cannot actually replace. We pack it out, restore it, store it, and bring it home.

Here is what makes the back office interesting. The person we serve is almost never the person who pays us. Roughly 80% of our revenue comes from insurance carriers, and every one of them is a different beast with different rules, different portals, different documentation standards, and a different definition of a complete file.

So the invoice is not the end of the job. The invoice is the beginning of an argument you have to win on paper.

We are looking for one person to own that from end to end.

What you would actually be doing

The billing half: build a file nobody can say no to.

Turn completed jobs into carrier-ready invoices covering pack-out, inventory, cleaning by item category, storage, pack-back, and total loss inventory
Apply New Mexico Gross Receipts Tax correctly, including getting the rate right when the job site sits in a different taxing jurisdiction than our office, and reconcile every invoice before it leaves the building
Learn what each carrier actually wants. Allstate, State Farm, USAA, Travelers, Liberty Mutual and Farmers all want the same money released, and none of them want it asked for the same way
Keep carrier portal uploads and XactAnalysis documentation current and inside SLA windows, because slipping outside them quietly costs us future assignments
Write supplements when the scope grows mid-job, which it often does, and document the change so it survives review
Untangle the money side of a claim: deductibles, ACV versus RCV holdback, contents sublimits, why the homeowner's first check came up short and what releases the rest, and the occasional joint check sitting unendorsed on somebody's kitchen counter
Catch the missing photo, the unsigned work authorization, the wrong date of loss, or the transposed claim number before it becomes a 90 day aging problem

The collections half: this is a sales job wearing an accounting badge.

Read this part carefully, because it is where most candidates and most companies get it wrong.

Almost nobody who owes us money is refusing to pay. A claim sits unpaid because a document is missing, because the adjuster who opened the file left the carrier, because the file is stuck in a review queue nobody told us about, or because a homeowner in the worst month of their life has not opened the envelope yet.

Your job is to find the actual reason and remove it. Not to pressure people.

Work the aging report as a set of solvable problems, not a list of delinquents
Build real relationships with adjusters, because the adjuster you collect from today is the adjuster who refers us work next quarter. Burn one and you have cost the company far more than the invoice was worth
Know when to be patient, when to escalate, and how to escalate through supervisors and vendor management without ever making it personal
Talk to homeowners about deductibles and balances with genuine decency. They just lost their house. Collect the money and leave them feeling like we were on their side, because we were
Own DSO and aged A/R as your numbers, and tell us honestly when something is not collectible

Who does well here

We are deliberately open on background, because we have never found two people who came to this work the same way. Any of these could be you:

Restoration, roofing or general contracting A/R. You already know supplements, adjusters, Xactimate and what a pack-out costs. You will ramp fastest and we want to talk to you first.

Insurance or medical billing. Denials, appeals, payer portals, EOBs, resubmissions. Different industry, identical muscle. Property carrier billing will feel familiar within a month.

Career collections with a light touch. You have carried a portfolio and hit your numbers without ever being the person people dread hearing from. We will teach you the billing mechanics.

A sharp generalist. No industry background, but you are analytical, relentless about follow-through, and you write a clear email. We have trained people from zero before and it worked.

What we cannot train is temperament. This role needs someone who is genuinely bothered by a number that does not tie out, and who can then pick up the phone and be warm to a stranger sixty seconds later. That combination is rare. It is the whole job.

Detail is the currency here. So here is a small test. If you have read this far, answer the "anything else you want us to know" question on the application with the name of your favorite animal. Everyone who does gets an interview, no exceptions. It is not a trick. Noticing the thing that everyone else scrolled past is literally what we would be paying you to do.

Requirements

Required

2+ years in billing, accounts receivable, collections, or claims administration
Comfortable in spreadsheets and able to learn new software quickly
Clear, professional written communication. You will be writing to adjusters daily and your emails become part of the claim file
The composure to handle a difficult phone call without either caving or escalating it
Authorized to work in the US and able to work on-site in Albuquerque

Preferred, not required

Experience with property insurance claims, restoration, or construction receivables
QuickBooks
Xactimate or XactAnalysis familiarity
Bilingual English and Spanish

Compensation and benefits

$18.00 to $22.00 per hour depending on experience
Performance incentive tied to aged receivables recovered, reviewed after your first 90 days
Paid time off and holidays
Full-time, Monday through Friday, on-site at our Academy Parkway office
Direct access to the owner. This is a smaller company, not a call center. Your work is visible, your ideas get heard, and you will help shape how the whole revenue cycle runs
