Full Job Description

Overview

We are seeking a dynamic and organized Office Manager/Administrative Assistant to join our team! This vital role combines office management with administrative support, ensuring smooth daily operations and exceptional client service. The ideal candidate will bring energy, efficiency, and a proactive attitude to help foster a productive and welcoming work environment. This paid position offers a chance to develop your administrative expertise while supporting our vibrant team. Training is available.

Duties

Manage daily office operations, including overseeing supplies and assistance to the real estate agents
Serve as the back up to the front desk as needed greeting visitors, answering the phone and directing calls with professionalism and courtesy
Handle calendar management and scheduling as needed for team meetings, appointments, and events using software such as Microsoft Office and calendar tools
Perform data entry and maintain accurate records using spreadsheets and Real Estate Software and word processing applications; ensure all documents are proofread and error-free
Work with the Broker/Owner to improve office efficiency and support business growth.
Assist with onboarding new agents and maintaining personal files.
Coordinate client communication through phone calls, emails, and in-person interactions; provide excellent customer service and support
Organize filing systems—both digital and physical—and maintain confidentiality of sensitive information
Assist with bookkeeping tasks using QuickBooks; process payroll, invoices, track expenses, and support financial recordkeeping including state and federal tax requirements.

Requirements

Prefer experience in office management or administrative support roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with excellent typing, proofreading, and data entry abilities
Familiarity with QuickBooks is highly desirable
Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Strong communication skills—both verbal and written—and phone etiquette proficiency
Previous experience in customer service or front desk roles demonstrating professionalism and positive client engagement
Demonstrated computer literacy with the ability to adapt quickly to new software tools
Personal assistant experience or calendar management skills are advantageous
