Position Purpose
- The Human Resources Coordinator will report to the Director of Human Resources. As an HR Coordinator you are a flexible HR professional who is quick to respond for support and is detail oriented when completing complex tasks. In this role you will be responsible for performing HR-related duties on a professional level and work closely with the leadership group in supporting varied responsibilities, primarily in the areas of onboarding, engagement, policy, procedure, and compliance adherence.
- This position carries out responsibilities in the following functional areas: pre-hire processing, orientation, onboarding, benefits enrollment support, employee engagement, and many other HR functions.
- Under the leadership of the Director of Human Resources, the HR Coordinator will also be responsible for processing HR mail, preparing employment verification letters, and assisting employees during open enrollment with basic benefit questions. The HR Coordinator will actively administer onboarding checklists, conduct milestone check-ins with new hires, and serve as a reliable point of contact for employee support. The HR Coordinator will participate in engagement initiatives, assist with recognition programs, and be able to fill in when other HR members are out of office.

Beyond Recruiting
The role is responsible for supporting pre-hire documentation, coordinating background and drug screen processes, assisting with onboarding, coordinating with third party support vendors, supporting the development of HR marketing and employee engagement materials, and serving as the primary onsite office administrator. About the HR Coordinator Role - Essential Functions

Required Eligibility and Preferred Qualifications
Education and Experience
- High school diploma / GED + 3 years of experience in Human Resources
- Or associate’s degree + 1 year of experience in Human Resources
- 1 to 2 years of HR experience (Transportation, Light Industrial and Warehousing Industry a plus)
- 1 to 2 years of onboarding and orientation
- 1 to 2 years of HR administration
- MS Excel proficiency (e.g. VLOOKUP, pivot tables, formula writing, etc.)
- Exceptional communication, problem-solving and flexibility skills
- Ability to pass a drug screen
Additional Preferred Qualifications
- SHRM-CP / SHRM-SCP or PHR / SPHR certification
- Bachelor’s degree in HR or related field
- 3+ years’ consecutive experience as HR Coordinator
- 3+ years’ consecutive experience onboarding
- 1-3 years’ consecutive experience working in California
- Paycom - ATS / Payroll

Work Environment and Equipment
- The HR Coordinator operates in a hybrid work environment – 1 day in office 4 days at home. A quiet, designated home workspace will be required to ensure professional and successful communication is provided to all while in the process of conducting work-related functions while outside of the office. While at work in the corporate office standard office work environment can be expected.
- All necessary technical-based office equipment will be supplied for hybrid functionality. This can include but is not limited to; a laptop or desktop set up, mouse, keyboard and internet phone log in.
- The HR Coordinator is required to have their own smartphone or equivalent device for daily work functions, necessary app usage and team communication.

Morning
- Assign, complete, and verify I‑9 documents and identification for new hires.
- Follow up via phone, text, and email with candidates who need to sign offer letters, complete drug screen/background consent forms, or schedule their drug screens.
- Coordinate background checks and drug screenings, ensuring timely completion.
- Review and disposition failed drug screen or background check results.
- Advise the Director of Human Resources on candidates who are “ready to work.”
- Track candidate progress through pre-hire workflows and update the vacancy report with current statuses.
Midday
- Schedule and facilitate orientation sessions for new hires.
- Manage onboarding paperwork and compliance forms.
- Enter and verify employee data in HRIS (Paycom).
- Assign new hires HR checklist in HRIS.
- Support benefits enrollment during onboarding.
- Respond to employee questions related to onboarding, compliance, and benefits.
Afternoon
- Receive interviewed candidates from the recruiting vendor and initiate pre-hire steps.
- Prepare and issue offer letters to candidates received from the recruiting firm.
- Conduct milestone check-ins with new hires (30/60/90 days).
- Assist with employee engagement tasks and marketing material (e.g., birthdays, anniversaries, notices).
- Create basic HR marketing materials under manager guidance (e.g., HR flyers, surveys and notices).
- Maintain onboarding checklists and update as needed across states and remote settings.
- Track and report recruiting and onboarding completion metrics to the Director of Human Resources.
- Suggest process improvements while executing assigned tasks.
- Process HR/corporate mail: open, scan, email, and route appropriately.

Weekly Cadence
