The Lee Iacocca Institute for Global Leadership at Lehigh University prepares the next generation of leaders to tackle complex global challenges. As Program and Operations Coordinator, you'll be the operational heartbeat of an institute with a decades-long legacy of connecting students, faculty, and international partners around meaningful work.

Position Number: S71510

This position is a Grade: 8 - 37.5 with an approximate salary range of $44,600-$53,530 and is subject to change based on experience, skills and qualifications.

Key Accountabilities

Serve as the primary operational contact overseeing the student application lifecycle—proactively monitoring applicant progress, resolving bottlenecks, and coordinating endorsement committee interviews and advising schedules.
Maintain accurate historical databases of applicants, nominees, and recipients to analyze institutional trends and report outcomes to university leadership.
Lead the planning, execution, and on-site delivery of on/off-campus and virtual/hybrid events, handling all room reservations, catering, technology setups, instructional materials, and complex travel arrangements.
Act as an agile, autonomous point of contact during active programs to troubleshoot real-time operational or technical needs and support leadership with live event execution.
Develop and execute a digital marketing strategy—including social media, newsletters, and website updates—to align with recruitment timelines and spotlight student and alumni success.
Monitor central office email accounts to manage incoming inquiries and route information promptly to the appropriate team members for resolution.
Securely oversee participant records from application to post-program tracking, maintaining strict data confidentiality and ensuring full compliance with FERPA and university standards.
Manage timely application uploads and submission protocols against hard institutional deadlines while identifying opportunities to automate and improve office workflows.
Administer evaluation surveys using tools like Qualtrics and Google Forms, collaborating with key campus partners (Registrar, Financial Aid, LTS) to synchronize student records and support digital operations.
Assist with day-to-day Institute financial functions—including invoice processing, credit card reconciliation, and budget tracking—while conducting initial expense reconciliations, flagging variances, and ensuring full compliance with Lehigh University standards.
Provide comprehensive administrative backing across the Office of International Affairs (OIA), assisting with meeting and event logistics, routine financial transactions, data tracking, evaluation surveys, and digital communications such as newsletters and website updates.

Qualifications

High School Diploma or GED; Associates or Vocational/Technical Degree preferred
Three to five years of work related experience
Strong organizational skills with the ability to manage competing priorities and deadlines without losing the details
Clear, professional written and verbal communication skills suited to diverse audiences — from prospective students to global partners
Familiarity with digital marketing tools, content management systems, or social media platforms used in an institutional context
A collaborative approach and genuine interest in international education or global leadership programs, consistent with Lehigh's commitment to broadening global perspectives
