Primary Function: To perform varied secretarial and office management duties, at the highest office/clerical level, and to achieve the goals of the division and the College.

Responsibilities: Provide support as assigned by supervisor, which may include: (1) Perform high-level secretarial duties: with specific instructions, using College Standard software, technology and associated peripherals, produce documents from written, oral or electronically produced/transferred materials; specifically, to manage and execute contracts for adjuncts, other academic staff and faculty, and additional contracts as needed. Calculate overload/over-enrollment for faculty members; process payroll and contracts for adjunct and faculty members; Create flow charts and other reports as needed; maintain/monitor department email accounts; Utilize Workday effectively and efficiently to process tasks, enter information and generate reports, among other things; generate and modify budget reports; utilize advanced features of MS Excel (e.g. pivot tables, V-lookup, conditional formatting, etc.) and MS Office (e.g. mail merge); proofread typed materials for accuracy; answer phones and screen calls as required and directed; place routine calls and dispense information; greet visitors; maintain files and records according to established procedures; schedule appointments; make travel arrangements; manage Uber rideshare program; open, organize, and distribute mail; inventory and order office supplies; operate general office equipment, such as copier and fax machine as required; (2) Handle confidential matters and problem solving as the initial point person. Guide and redirect as necessary. Use independent judgement and decision making as necessary (3) Assist in the administration and overall operation of the school: support special events/activities of the school; update course outline files each semester; assist in coordination of work with faculty school secretaries; direct student assistants; process payroll data; coordinate routine school information; (4) Implement special responsibilities: as assigned by the supervisor and consistent with level of responsibilities of the job.

Organizational Relationships: Responsible to the Dean for the performance of assigned responsibilities.

Performance Standards: Performance in this position is considered satisfactory when: (1) responsibilities of the position have been carried out at a level to ensure efficient functioning of the office; (2) effective cooperative relationships exist with faculty, other staff members, students, and members of the community.

Qualifications: (1) Education: (a) high school diploma; (b) three years secretarial experience or two years secretarial experience and business college or AAS degree in office administration preferred. (2) Skills, Knowledge, and Abilities: (a) ability to use technology systems and tools to support divisional operations; (b) accurate keyboarding skills; (c) proficient in College standard software, including word processing, spreadsheets, and databases; (d) ability to prioritize and organize work; (e) strong oral and written communication skills; (f) ability to understand and follow oral and written instructions; (f) high degree of confidentiality; (g) adaptability; (h) initiative, judgment, discretion; (i) ability to work with little direct supervision. (3) Experience: as specified above.
