Full Job Description

We’re an Albany-based advertising agency seeking a highly organized, detail-oriented Administrative Assistant / Bookkeeper to support both our financial operations and day-to-day office management. Let’s be honest—this isn’t your typical “answer phones and file papers” admin role.

This is a dynamic role for someone who can move seamlessly between numbers and operations—maintaining accuracy, improving processes, and helping keep the agency running efficiently behind the scenes. What You’ll Do

Assist with managing accounts payable and receivable, including recording and reconciliation
Review financial data, postings, and documents for accuracy
Keep our systems organized—files, processes, workflows (and improve them when needed)
Help manage day-to-day office operations and support the team
Coordinate with IT on office equipment and technology needs
Play a key role in planning and executing company events
Help onboard new employees and support internal procedures
Jump into projects wherever needed—because in agency life, there’s always something

What You Bring

Highly organized, detail-obsessed, and naturally proactive
Comfortable wearing multiple hats (and switching between them quickly)
Ability to manage multiple priorities and work independently
A problem-solver who doesn’t wait to be told what to fix
Strong communicator—clear, professional, and confident
Proficiency in Microsoft Office, particularly Excel
Experienced with QuickBooks (or able to get up to speed quickly)
Familiarity with general accounting and administrative practices
