About QLM:

Job Summary:

The Contract Administrator will provide administrative support for the Company’s contract, compliance, lease, prequalification, and legal coordination functions. This role assists with preparing, organizing, tracking, and maintaining business and legal documents while coordinating information across internal departments and supporting communication with outside counsel. The ideal candidate is detail-oriented, dependable, organized, and able to handle sensitive information with professionalism and discretion.

Job Duties:

· Contract Preparation and Administration: Assist with preparing, reviewing, organizing, routing, tracking, and maintaining contracts, agreements, amendments, and related documents to support accuracy, consistency, timely follow-up, and compliance with Company standards.

· Lease Administration: Assist with lease administration, including coordinating lease review, renewal tracking, documentation, record maintenance, deadline monitoring, and follow-up related to Company office lease agreements.

· Prequalification and Compliance Support: Coordinate with internal departments to collect, verify, and organize required information for customer, vendor, and project prequalification submissions, while assisting with documentation, compliance tracking, renewals, and follow-up to support timely and accurate submissions.

· Outside Counsel and Legal Review Coordination: Coordinate documents submitted for legal review, track requested revisions and status updates, and assist with communication and follow-up between the Company and outside counsel as needed.

· Annual Reporting and State Compliance: Assist with preparing, tracking, and maintaining annual reports and related state filings, while coordinating with the CFO to support compliance with applicable state law requirements.

· Additional Administrative Support: Perform other related administrative duties and special projects as assigned to support departmental and Company needs.

Qualifications and Requirements:

· Bachelor’s degree in Business Administration, Legal Studies, or a related field, or equivalent relevant experience; a combination of education and experience is equally valued. Paralegal experience is a plus.

· Experience in contract administration, legal support, compliance, or a similar administrative role preferred.

· Knowledge of the construction industry is a plus.

· Familiarity with contract terminology, legal documentation, and professional communication with legal counsel.

· Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with internal teams and outside counsel.

· Proficiency in Microsoft Office and contract management or electronic signature platforms such as DocuSign or similar systems.

· Strong attention to detail, accuracy, organization, and follow-through.

· Ability to organize multiple tasks, meet deadlines, and handle confidential matters in a fast-paced environment.

· Strong problem-solving skills and the ability to work independently while following direction and collaborating with internal teams.

· Demonstrate professionalism, discretion, and commitment to maintaining confidentiality and ethical standards.
