Full Job Description

Job Summary

We are seeking a detail-oriented and organized Bookkeeper / Administrative Assistant to support daily financial and office operations. This role combines bookkeeping responsibilities with administrative support, ensuring accurate financial records, smooth office workflow, and efficient communication across the organization. The ideal candidate is dependable, proactive, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

Bookkeeping Duties

Reconcile bank statements, credit card accounts, and other financial records.
Assist with payroll processing and maintain payroll records, as needed.
Prepare financial reports, summaries, and spreadsheets for client review.
Support month-end and year-end closing processes.
Maintain organized and up-to-date accounting files and documentation.
Work with accountants or external tax professionals to provide required financial information.

Administrative Duties

Answer phones, respond to emails, and handle general correspondence.
Schedule appointments, meetings, and maintain calendars.
Prepare, format, and file documents, reports, and other business records.
Assist with data entry and recordkeeping across administrative systems.
Greet clients, vendors, or visitors and provide professional customer service.
Help improve office procedures and maintain efficient administrative processes.

Qualifications

High school diploma or equivalent required; associate degree or coursework in accounting, business, or a related field preferred.
Proven experience in bookkeeping, accounting support, or administrative assistance.
Proficiency in accounting software such as QuickBooks, Xero, or similar systems.
Strong skills in Microsoft Office, especially Excel, Word, and Outlook.
Excellent organizational skills and strong attention to detail.
Ability to handle confidential financial and business information with discretion.
Strong written and verbal communication skills.
Ability to manage time effectively and prioritize multiple tasks.

Preferred Qualifications

Experience with payroll systems.
Knowledge of basic accounting principles and office management procedures.
Experience working in a small business or fast-paced office environment.
