Partners for Progress is a Social Justice Non-Profit in Anchorage, AK. We work with incarcerated individuals and previously incarcerated individuals to reduce recidivism and increase public safety in the state of Alaska.
POSITION SUMMARY
This position is responsible for processing and managing the payroll, accounts payable, and accounts receivable functions for Partners for Progress. The Accounting Manager works closely with the Finance Director to ensure all accounting services are done in a timely manner and that all financial transactions are accurate, timely and meet generally accepted accounting principles per GAAP and audit standards. The position provides administrative support for Partners for Progress administrative staff and programs.
ESSENTIAL FUNCTIONS AND JOB DUTIES REQUIRED:
1. Accounts Payable and Receivable:
·Responsible for weekly Accounts Payable function, including collecting all invoices, ensuring proper documentation and grant allocation coding per established policies and procedures, processing payments, and routing for approval within established deadlines.
· Responsible for entering all credit card receipts into PFP’s accounting software (QuickBooks), including ensuring proper documentation and grant allocation coding per established policies and procedures.
· Prepare, analyze, and submit monthly and quarterly invoices and reports for various grants, meeting all reporting deadlines.
· Responsible for filing and issuing 1099s annually, including ensuring accurate records for all eligible vendors, mailing to all recipients, and filing with the IRS by the reporting deadline.
· Conduct annual review of all independent contractor agreements to ensure business licenses are held and that all agreements are up-to-date and filed appropriately.
2. Human Resources:
· Routinely review policies and procedures to maintain compliance with federal, state, and local employment laws and regulations; and recommends changes to stay compliant and aligned with best practices.
· Responsible for ensuring all personnel and human resources files (physical and electronic) are maintained per established policies and best practices.
· Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources and employment law; and recommends changes as needed.
3. Payroll:
· Responsible for processing bi-weekly payroll, including ensuring timesheets are completed according to accounting schedule, follow all company policies, proper grant allocation documentation, all liability payments are processed and correct, and is completed within established deadlines.
· Reconcile employer liability account for all retirement contributions each month.
· Calculate and process payroll expense adjustments each month as part of closing transactions for Finance Director approval.
· Responsible for compiling, auditing, and filing all quarterly and annual payroll tax forms, including W-2s/W-3, 940, 941, and Alaska unemployment, and submitting payments as necessary, ensuring all deadlines are met.
4. General Accounting:
· Prepare and review monthly, quarterly, and annual data reports and budgets across PFP funding sources and programs, and hold regularly scheduled budget meetings with relevant staff.
· Calculate and process required monthly journal entries in a timely manner
·Maintain hardcopy and digital copies of all grant invoicing, reporting, budgets, and agreements.
5. Other:
·Responsible for overseeing any lease agreements for space available at the 417 Barrow location, including sending and processing required notices on renewals, updating year-end costs for the space(s), and creating new lease agreements as needed.
·Ensure Partners for Progress business licenses, corporate registrations, and SAM.gov registrations are renewed without any lapses, including updating any required information as needed.
·Serve as main contact for all business and liability insurance, and is responsible for completing any renewal and/or audit requirements.
·Other duties as assigned.
Minimum Qualifications:
- 2 Year Degree in Accounting, Economics, Business Administration, or related field.
- 2 Years human resources and accounting experience.
- 2 Years QuickBooks experience.
- A combination of education/experience demonstrating ability to fulfill job requirements may be considered.
- Advanced ability with all programs in MS Suite including Excel, Word, Access and PowerPoint.
- Openness to technical direction and ability to follow direction and accept constructive feedback.
- Communication: Excellent verbal and written communication, spelling, and composition skills. An ability to communicate with people from a variety of cultural and socioeconomic backgrounds. Strong interpersonal skills and the ability to work with differing styles of communication across a diverse team. Professional demeanor in-person, electronically and over the phone.

Must possess a current, valid Driver’s License with a clean driving record, and be able to pass local, state, and federal background checks. Access to reliable, insured vehicle to be used for work related travel; vehicle insurance must meet minimum State of Alaska requirements. While performing the duties of this job, the employee is regularly required to talk and hear. This position requires standing, walking, bending, kneeling, stooping, crouching and driving. The employee must be able to lift and/or move items up to 25 pounds.
