Job Summary May-November
We are seeking a dynamic and organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your proactive approach and strong organizational skills will ensure smooth office management and a positive first impression. This paid position offers an exciting opportunity to develop your administrative expertise while supporting daily operations across various departments.

Duties

Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle front desk responsibilities including scheduling appointments, managing calendars, and coordinating meetings
Perform data entry, filing, and document proofreading to maintain accurate records and organized files
Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
Support office operations by managing incoming correspondence, maintaining supplies, and overseeing general clerical duties
Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times

Experience

Proven experience in office administration or clerical roles with a strong background in customer service
Familiarity with front desk procedures, multi-line phone systems, and office management tools
Bilingual skills are highly desirable to effectively communicate with diverse clients and team members
Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
Experience with medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is beneficial
Strong organizational skills with the ability to multitask efficiently in fast-paced environments
Knowledge of bookkeeping or basic financial recordkeeping using QuickBooks is advantageous
