Overview

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring smooth daily operations and exceptional customer service. Your proactive attitude and organizational skills will help create a positive environment while managing a variety of administrative tasks with efficiency and professionalism. This paid position offers an exciting opportunity to develop your office management skills in a dynamic setting.

Duties

Greet visitors and clients warmly, providing excellent customer support and ensuring a positive first impression
Manage multi-line phone systems, directing calls accurately and courteously
Handle incoming and outgoing correspondence, including emails, mail, and packages
Maintain organized filing systems, both physical and digital, including data entry and document management
Schedule appointments, manage calendars, and coordinate meetings using productivity software such as Microsoft Office and Google Workspace
Assist with office management tasks like inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar tools
Support administrative functions such as proofreading documents, preparing reports, and maintaining spreadsheets for data tracking
Provide bilingual support to accommodate diverse client needs when applicable
Ensure phone etiquette is professional at all times and assist with clerical duties to keep the front desk running smoothly

Skills

Strong computer literacy with proficiency in Microsoft Office suite (Word, Excel), Google Workspace, spreadsheets, and data entry software
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Exceptional customer service skills coupled with effective phone communication and etiquette
Technical proficiency in office management tools such as multi-line phone systems, calendar management software, and bookkeeping programs like QuickBooks
Bilingual abilities are highly desirable to enhance client communication and support diverse populations
Proven clerical experience or office experience demonstrating strong typing, proofreading, filing, and administrative capabilities
Ability to manage time effectively while supporting multiple tasks including client communication, appointment scheduling, and document preparation
Familiarity with medical receptionist duties or personal assistant experience is a plus but not required
