Job Overview

We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves managing administrative tasks, coordinating communication, and supporting team productivity. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an efficient workplace. As an Office Manager, you will be the central point of contact for staff, clients, and visitors, fostering a welcoming and professional atmosphere.

Responsibilities

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Oversee office supplies inventory, procurement, and filing systems to maintain an organized workspace
Coordinate calendar management, scheduling meetings, appointments, and conference rooms efficiently
Handle data entry tasks using spreadsheets and productivity software such as Microsoft Office and Word processing tools
Support client communication by providing excellent customer service and addressing inquiries promptly
Maintain accurate records through filing, proofreading documents, and managing administrative paperwork
Assist with bookkeeping tasks using QuickBooks or similar accounting software when necessary
Organize office events, meetings, and team activities to promote a collaborative environment

Qualifications

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes
Excellent computer literacy with the ability to quickly adapt to new software or technical tools
Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Exceptional phone etiquette and customer service skills for front desk interactions and client communication
Bilingual abilities are a plus to support diverse client and staff needs
Personal assistant experience or calendar management expertise is highly desirable
Knowledge of QuickBooks or similar financial management tools is advantageous
