Position Overview: The Center for Plastic Surgery in Ann Arbor is seeking a friendly, organized, and customer-focused Medical Office Receptionist to join our team. This role serves as the first point of contact for patients while providing essential administrative support to both the Reception and Coordinator teams.

The ideal candidate is highly organized, detail-oriented, compassionate, and thrives in a fast-paced environment. They must be able to manage multiple priorities while delivering exceptional patient care and customer service.

The primary responsibility of the Medical Office Receptionist is to oversee front desk operations, ensuring a welcoming and efficient experience for every patient and visitor. In addition, this position provides administrative support to the Coordinator team by assisting with surgery scheduling, patient consultations, and new patient inquiries. This role is instrumental in maintaining smooth daily operations and ensuring a seamless patient experience from the initial phone call through treatment planning.

Key Responsibilities:

Reception Support (Primary Role)

Appointment Scheduling

Coordinate patient appointments and consultations, optimizing scheduling efficiency while accommodating patient preferences and provider availability. Manage appointment reminders and follow-up communications.

Patient Relations

Greet patients and visitors with a warm and welcoming demeanor, ensuring a positive first impression of our practice. Answer phone calls, schedule appointments, and respond to inquiries courteously and professionally.

Customer Service Excellence

Anticipate patient needs and proactively address concerns or inquiries to ensure a seamless and satisfying experience. Listen attentively, empathize with patient concerns, and provide appropriate assistance or escalation to resolve issues promptly.

Data Entry Collection

Verify patient information, collect necessary documentation, and ensure accurate completion of intake forms. Check in patients for their visits, process services rendered, and reconcile daily transactions.

Administrative Support

Assist with various administrative tasks, including data entry, filing, scanning, and faxing documents. Collaborate with clinical staff and other team members to facilitate efficient workflow and optimize patient care delivery. Support physicians, nurses, and office staff with administrative tasks as needed.

Financial Transaction Processing

Handle financial transactions and payment processing for patient encounters.

Coordinator Support (Support Role)

Surgery Scheduling

Onboard surgical cases, including all pre- and post-surgical appointments. This involves preparing surgical charts and collecting surgical prepayments under the direction of the Coordinator.

Patient Consultation Discussions & Communications

Engage in discussions with patients about surgery scheduling, fees and financial timelines, clearance requirements, and general patient communication inquiries.

New Patient Inquiry & Lead Management

Facilitate discussions with new patients and assist the Coordinator with lead tracking efforts along with post-consultation follow-up.

Schedule Maintenance

Assist the Coordinator in managing physician scheduling templates to ensure smooth and effective clinic and surgery schedules.

Financial Management

Process financial transactions for surgical procedures along with providing patient education about financing programs.

Administrative Support

Assist the Coordinators with various administrative tasks.

Qualifications and Preferred Skills:

High school diploma or equivalent required; additional education or certification in medical office administration is preferred.
Previous medical receptionist experience preferred; plastic surgery, dermatology, cosmetic, aesthetic practice experience strongly preferred.
Strong interpersonal and communication skills, with a friendly and professional demeanor.
Proficiency in computer skills, ideally including experience with electronic medical records (EMR) systems and Microsoft Office applications.
Excellent organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
Proven ability to strategically manage complex, multi-provider calendars across both surgical and med spa divisions, intelligently sequencing appointments to eliminate provider downtime and maximize practice revenue.
Knowledge of medical terminology and procedures related to plastic surgery and aesthetic treatments is a plus.
Knowledge of HIPAA regulations and patient privacy standards.
Experience with processing payments
