Overview

We are seeking a highly organized and proactive Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a comprehensive understanding of office management practices. This role offers an opportunity to contribute to a dynamic team by maintaining efficient workflows, supporting staff, and enhancing overall productivity. The Office Manager will serve as the central point of contact for administrative functions, fostering a professional and welcoming atmosphere for clients and employees alike.

Responsibilities

Manage day-to-day office operations, including supervising administrative staff and coordinating office activities.
Oversee the maintenance of office supplies, equipment, and facilities to ensure optimal functionality.
Handle incoming calls using multi-line phone systems with professionalism and courtesy, providing exceptional customer support.
Maintain accurate records through data entry, spreadsheets, and word processing tasks utilizing Microsoft Office and productivity software.
Utilize QuickBooks for basic financial record keeping, invoicing, and expense tracking.
Coordinate front desk activities, including greeting visitors, managing appointments, and ensuring a positive client experience.
Support executive team with personal assistant duties such as scheduling, correspondence, and document proofreading.
Ensure compliance with organizational policies while fostering a productive and organized work environment.

Qualifications

Proven experience in office management or administrative roles with strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry procedures.
Experience using QuickBooks or similar accounting software for financial tasks.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
Strong communication skills, including phone etiquette and client interaction capabilities; bilingual abilities are a plus.
Demonstrated technical proficiency with multi-line phone systems and computer literacy across various productivity tools.
Previous experience in customer service or front desk roles is highly desirable.
Ability to manage time effectively while maintaining attention to detail through proofreading and accurate documentation.
