Full Job Description

Job Overview

The Accounting Manager is responsible for managing the day-to-day accounting operations of MMARS while ensuring the accuracy, integrity, and security of the organization's financial records.

This position serves as the internal accounting lead and works closely with the Chief Operating Officer (COO), Data Analyst, external accounting firm, and executive leadership to support financial reporting, cash management, forecasting, budgeting, accounts payable, accounts receivable, and compliance activities.

The Accounting Manager is responsible for maintaining strong internal controls, supporting organizational growth through financial reporting and forecasting, and ensuring the organization maintains accurate financial records in compliance with applicable accounting standards, Medicaid requirements, and organizational policies.

Responsibilities

Accounting Operations & Financial Reporting

Maintain the organization's general ledger and accounting records.
Record and reconcile financial transactions in QuickBooks and other financial systems.
Prepare monthly journal entries, accruals, and account reconciliations.
Manage and coordinate the month-end and year-end closing processes.
Prepare monthly financial statements and supporting schedules for leadership review.
Ensure all accounting records are complete, accurate, and maintained in accordance with organizational standards.
Coordinate with the external accounting firm to support financial reporting and compliance requirements.

Accounts Payables & Vendor Management

Oversee accounts payable processes and ensure timely and accurate payment of vendor invoices.
Review invoices for proper authorization and supporting documentation prior to payment processing.
Maintain vendor records and payment schedules.
Prepare checks and electronic payments within established authorization limits.
Monitor outstanding obligations and ensure vendor accounts remain current.
Recommend and maintain controls related to invoice approvals, payment processing, and vendor management.

Accounts Receivable & Revenue Management

Monitor accounts receivable activity and coordinate collection efforts as necessary.
Collaborate closely with the Data Analyst to reconcile claims activity, payments received, outstanding balances, denials, and adjustments.
Review reimbursement trends and identify issues impacting cash collections.
Assist with revenue reconciliation and validation of Medicaid and other payer reimbursements.
Analyze receivable aging and provide recommendations to improve collection performance and cash flow.

Cash Management & Forecasting

Monitor daily cash activity, cash receipts, and disbursements.
Maintain accurate cash balances and monitor organizational liquidity.
Prepare cash flow projections for leadership review.
Develop forecasting models related to revenue, receivables, expenses, and organizational growth initiatives.
Support annual budgeting processes and financial planning activities.
Assist leadership in evaluating financial trends and organizational performance.

Reconciliations & Financial Controls

Perform monthly reconciliations of bank accounts, credit card accounts, payroll accounts, HSA accounts, 401(k), employee benefit accounts, and other balance sheet accounts.
Investigate and resolve discrepancies identified during reconciliation processes.
Maintain documentation supporting all financial transactions and account balances.
Develop, implement, and monitor internal controls designed to safeguard organizational assets and reduce financial risk.
Identify opportunities to strengthen financial processes, improve efficiency, and enhance segregation of duties.
Recommend systems and procedures that support healthy checks and balances throughout the organization.

Compliance, Audit & Risk Management

Support audits, tax filings, and financial reviews conducted by external accountants and auditors as needed.
Coordinate documentation requests from auditors, regulatory agencies, and external partners.
Ensure compliance with applicable accounting standards, Medicaid requirements, contractual obligations, and organizational policies.
Complete workers’ compensation payments, monitor expenses and identify discrepancies requiring correction or follow-up.
Manage annual workers’ compensation audits by gathering payroll data, responding to auditor requests, reconciliating classifications, and ensuring accurate premium calculations.
Participate in 401(k) audits as needed.
Identify financial risks and communicate concerns and recommendations to leadership.
Assist in maintaining audit readiness throughout the year as needed.

Collaboration & Strategic Support

Partner closely with the Data Analyst to ensure accurate revenue reporting, claims reconciliation, forecasting, and financial analysis.
Collaborate with the accounting firm to support budgeting, forecasting, financial planning, and executive reporting.
Provide leadership with financial reports, trend analyses, and recommendations to support data-driven decision-making.
Support organizational initiatives through financial analysis, reporting, and special projects as needed.
Assist leadership in identifying opportunities to improve profitability, operational efficiency, and financial performance

Skills

Strong knowledge of general ledger accounting, financial reporting, accounts payable, accounts receivable, and account reconciliations.
Experience managing month-end close processes and financial statement preparation.
Strong understanding of cash flow management and forecasting.
Advanced proficiency in QuickBooks and Microsoft Excel.
Ability to analyze financial data and provide meaningful business insights.
Strong attention to detail, organization, and problem-solving skills.
Experience developing and maintaining internal controls.
Ability to work independently while collaborating effectively with leadership and external partners.
Knowledge of Medicaid-funded programs, healthcare reimbursement, government claims, or LTSS operations strongly preferred.

Education

Bachelor's degree in Accounting, Finance, Business Administration, or related field required.
CPA designation preferred but not required.
Minimum of 5–7 years of progressive accounting experience.
Experience preparing financial statements and managing month-end close processes required.
Experience in healthcare, Medicaid-funded services, government-contracted organizations, or similar industries strongly preferred.
Experience supporting audits, forecasting, budgeting, and cash flow management preferred.

Work Location / Travel

Hybrid/Remote work environment with required presence at the main office as needed.
Must be available for some travel that may be required for audits, or offsite meetings.
Must maintain a home office in compliance with MMARS HIPAA and Home Office requirements.
Must possess a valid driver’s license in good standing.
