Position Overview
The Mortgage Operations & Growth Manager will work directly with executive leadership to refine and scale Coastline Mortgage's operational infrastructure.
This role is central to our next chapter—strengthening the systems, workflows, and people that will support Coastline’s continued expansion and increasing loan volume.
The ideal candidate brings strong mortgage processing knowledge, leadership ability, compliance awareness, operational discipline, and an entrepreneurial mindset. We’re looking for someone who's equally comfortable improving operational systems as leading their execution.
Key Responsibilities
Operations Leadership
- Lead and support processors, loan officer assistants, and future operations staff as the team grows
- Serve as a key operational partner to Coastline's loan officers—creating the systems and support structures that allow their businesses to scale
- Work closely with loan officers to elevate the loan origination experience by identifying challenges and sharpening communication
- Manage pipeline flow standards from application through closing
- Reinforce accountability, service standards, and clear operational expectations
- Monitor workflow efficiency, turn times, pipeline health, and production metrics
- Partner in staffing, hiring, onboarding, and team development
Process Development & Scalability
- Design and document operational procedures and workflows built to scale
- Develop systems with future growth in mind—not just today's volume
- Identify bottlenecks and implement targeted, durable solutions
- Improve intraoffice communication across loan officers, processing, underwriting, and closing partners
- Champion continuous process improvement at every stage
Compliance & Quality Control
- Assist with internal audits and quality control initiatives
- Help ensure alignment with company policies and compliance with mortgage regulations
- Support licensing, documentation, and operational oversight processes
- Fortify a culture of file quality, accountability, and compliance excellence
- Partner with executive leadership on risk management initiatives
Team Development
- Train, mentor, and develop processors and support staff
- Strengthen consistency and clarity across the loan process
- Develop best practices and operational standards
- Foster a positive, accountable, and team-first culture
Strategic Growth
- Participate in leadership planning and company-wide growth initiatives
- Support recruiting and onboarding as the team expands
- Partner with executive leadership to strengthen the loan officer experience, support retention, and help create an environment where our team thrives
- Help build the operational framework that makes future expansion possible
- Contribute ideas that improve both efficiency and the borrower experience
Qualifications
Required
- 5+ years of mortgage industry experience
- Significant mortgage processing experience
- Strong understanding of Conventional, FHA, VA, and USDA lending
- Experience managing pipelines and multiple transactions simultaneously
- Strong organizational, communication, and leadership skills
- Ability to solve problems and improve processes independently
- Genuine desire to help grow an organization
Preferred
- Senior Processor experience
- Processing Manager experience
- Mortgage Operations experience
- Mortgage broker experience strongly preferred
- Compliance, audit, or quality control experience
- Licensing or regulatory oversight exposure
- Experience building or improving operational departments
- Experience with ARIVE Mortgage Software or similar LOS platforms
