JOB TITLE: Administrative Receptionist

JOB CLASSIFICATION: Administrative Receptionist

REPORTS TO: Chief Executive Officer

SUMMARY:

The Receptionist / Administrative Support staff member serves as the first point of contact for visitors, clients, and callers, creating a welcoming and professional environment. This role also provides general administrative support to leadership and staff, ensuring smooth daily operations across the organization.

EXAMPLES OF DUTIES & RESPONSIBILITIES:

1. Greet and assist all visitors, clients, and vendors in a courteous and professional manner

2. Answer and direct incoming phone calls, take messages, and respond to inquiries as appropriate

3. Manage incoming and outgoing mail, packages, and deliveries

4. Maintain a clean, organized, and professional front desk and reception area

5. Provide administrative assistance to managers and other staff as needed

6. Assist with scheduling, data entry, filing, and document preparation

7. Run occasional errands and support operational needs as assigned

8. Perform general office duties and “odd jobs” to support day-to-day workflow

9. Monitor office supplies and assist with ordering as needed

10. Help coordinate meetings, including preparing materials and setting up spaces

11. Maintain confidentiality of sensitive information at all times

12. Perform other duties as assigned by the Chief Executive Officer and other administrative staff.

DESIRED KNOWLEDGE, SKILLS, AND ABILITIES:

1. Basic knowledge of office procedures, administrative practices, and customer service principles

2. Familiarity with standard office equipment (phones, copiers, scanners, etc.)

3. General understanding of confidentiality standards and professional workplace conduct

4. Strong verbal and written communication skills

5. Excellent customer service and interpersonal skills

6. Organizational and time management skills with attention to detail

7. Ability to multitask and handle interruptions in a fast-paced environment

8. Problem-solving skills and the ability to handle routine issues independently

9. Basic clerical skills such as filing, data entry, and record keeping

10. Ability to maintain professionalism and composure when interacting with the public, consumers and staff

11. Ability to prioritize tasks and adapt to changing demands

12. Ability to work independently as well as part of a team

13. Ability to maintain confidentiality of sensitive information

14. Ability to follow instructions and complete tasks with minimal supervision

15. Ability to perform a variety of duties, including non-routine tasks and errands

16. Ability to be dependable, flexible, and responsive to organizational needs

17. Basic computer knowledge, including Microsoft Office and email systems

18. Must demonstrate the ability to work well with staff and participants in a polite, respectful and dignified manner.

19. Mut be punctual and reliable.

QUALIFICATIONS:

1. High school diploma or equivalent required

2. Previous receptionist or administrative experience preferred

3. Strong communication and interpersonal skills

4. Professional appearance and demeanor

5. Basic computer skills (Microsoft Office, email, etc.)

6. Dependable, flexible, and willing to assist where needed

Pay: $12.00 - $16.00 per hour
