About Us

Keller Masonry LLC is a masonry and general contracting company serving the greater Phoenix area.

We lay block, brick, and concrete, and we take on general contracting. We've grown from a two-man operation to a crew of thirty, with two project managers in the field. We've done it with employees, not subcontractors - our people are on our payroll, they're trained here, and they stay. Most of our work comes from builders and owners who've hired us before. That's the whole strategy, and it's why the back office matters: when someone who has worked with us for years calls, they should get a straight answer and an accurate invoice.

We don't have an office and we don't plan to get one. Our books, payroll, and paperwork all live in the cloud. We meet three mornings a week in a private meeting room in North Phoenix; the rest of the week you work from wherever you work best.

The Role

We're hiring one person to run the entire back office. You'll own payroll, pay the bills, collect what we're owed, keep the books clean, and be a steady point of contact for our clients on scheduling and billing questions.

This is the first office hire we've made. That means two things. It means some of this job isn't written down yet, and you'll help write it. And it means there's real room to grow - see "Where This Goes" below.

You'll work closely with the owner. If you like a clean ledger, a paid invoice, and a client who feels taken care of, you'll do well here.

What You'll Do

Payroll and books:

Run bi-weekly payroll for hourly field crew and salaried staff - time-sheet review, overtime, and prevailing-wage jobs where they come up

Reconcile bank and credit card accounts monthly and keep the general ledger current

Maintain job costing: code every cost to the right job, and produce job profitability reports we can actually act on

Assist with year-end 1099 preparation and hand clean records to our CPA

Money in, money out:

Accounts payable: enter vendor and subcontractor bills, schedule payments, reconcile statements

Accounts receivable: issue customer invoices and progress billings, apply payments, follow up on past-due balances

Track lien waivers, certificates of insurance, and W-9s for every subcontractor

Clients and coordination:

Be a responsive point of contact for client questions on scheduling, invoices, and paperwork

Coordinate with our project managers to gather job information and keep records current

Keep our cloud filing organized so anyone can find anything

Flag anything that looks wrong before it becomes a problem. This is the most important line in this posting.

Where This Goes

Over the first year, as you learn the business, this role can grow into owning client relationships and running the weekly reporting rhythm with our project managers - with pay and title to match. We'd rather grow someone into that than hire a stranger into it. But we're being honest that it's a year-one job to earn, not a day-one job to be handed.

What You Bring

Required:

Three or more years of hands-on bookkeeping, including running payroll yourself

Working proficiency in QuickBooks (Online preferred) and Excel or Google Sheets

Comfortable with job costing - coding costs to jobs, and reading a job profitability report. Our file is being professionally set up before you start; you'll be maintaining it, not building it.

Demonstrated accuracy with numbers, and the habit of checking your own work before someone else has to

Comfortable talking to customers on the phone. Calm, clear, and unbothered by someone who's frustrated

Able to be in North Phoenix three mornings a week

Reliable high-speed internet and a private, secure workspace at home - you'll handle confidential payroll and financial data

Legally authorized to work in the United States

Willing to pass a background check, given access to company financial accounts

Nice to Have:

Experience in construction, trades, or another job-costing business

Familiarity with lien waivers, progress billing, or AIA billing

Experience with a payroll platform such as Gusto, ADP, or QuickBooks Payroll

You've been the first office hire somewhere before, and you liked it

Compensation and Benefits

$62,000 to $72,000 per year, based on experience. We pay above the local median because we do not currently offer a group health plan - we'd rather be straight with you about that up front than surprise you at the offer.

Two weeks paid time off

Paid holidays, matching what our field crew receives

Arizona earned paid sick time, accrued per state law

Hybrid schedule - three mornings a week in North Phoenix, the rest from home. No daily commute.

Occasional travel - jobsite visits and the occasional vendor meeting - fully paid, including mileage, lodging, and meals
