Full Job Description

Our DoD/Aerospace client is looking to fill a Senior Administrator position within their high-technology defense systems team. This role offers an exciting opportunity to provide high-level administrative support to Directors and Senior Managers supporting mission-critical defense programs. The ideal candidate will be responsible for managing executive calendars, travel arrangements, meetings, expense reporting, and other administrative functions while maintaining strict confidentiality and professionalism.

Location: Scottsdale, AZ (Hybrid)
Position: Senior Administrator
Contract Length: 12–24 months with possibility of going direct
Pay: $40.87 per hour
Education/Experience: High School Diploma or equivalent plus Related Vocational Training and 5+ years of administrative/business experience OR 8+ years of administrative/business experience
Schedule: First Shift
Clearance Requirement: Active TS/SCI Clearance required at time of hire (U.S. citizenship required)

In this role, you will use your organizational and administrative expertise to:

Provide executive-level administrative support to Directors, Senior Managers, and their teams.
Manage complex calendars, scheduling, and meeting coordination.
Coordinate local, domestic, and international travel arrangements.
Ensure compliance with security protocols and procedures for international travel.
Prepare and manage expense reports, time reporting, and related administrative documentation.
Coordinate meetings, conference calls, and executive events.
Maintain confidential information with discretion and professionalism.
Prepare, edit, and format correspondence, presentations, reports, and other business documents.
Support leadership teams by managing administrative details, allowing them to focus on strategic business activities.
Prioritize multiple tasks and deadlines in a fast-paced environment.
Identify opportunities to improve administrative processes and efficiency through automation and AI-enabled tools.

Knowledge, Skills, and Abilities

Strong executive administrative support experience.
Experience coordinating local, domestic, and international travel arrangements.
Knowledge of travel security requirements and international travel processes.
Advanced proficiency with Microsoft Office Suite, including:
- Outlook
- Word
- Excel
- PowerPoint
Excellent calendar management and scheduling skills.
Strong organizational, time management, and multitasking abilities.
Exceptional attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information.
Strong written and verbal communication skills.
Excellent proofreading, editing, grammar, and business writing abilities.
Ability to work independently while supporting multiple stakeholders and priorities.

Preferred:

Experience supporting senior executives, directors, or leadership teams.
Experience working within government, defense, aerospace, or highly regulated environments.
Familiarity with classified environments and security-sensitive administrative processes.
Experience coordinating executive travel requiring clearance-related procedures.
Strong relationship-building and collaboration skills.
