Job Title: Program Clerk/Receptionist

Location: Apple Valley, CA
Reports To: CEO and Human Resources
Job Type: Full-Time
Hours: 8:30 AM - 2:30 PM
Pay Range: $18.00 per hour

Position Summary:

PURPOSE

The Program Clerk/Receptionist provides administrative, clerical, and receptionist support to all departments while serving as the first point of contact for employees, applicants, visitors, vendors, and community partners. This position assists with daily office operations, recordkeeping, and organizational support to help ensure efficient business operations and exceptional customer service.

Physical Demands, Work Environment, and COVID Regulations

Physical Demands:

Sitting and standing for prolonged periods of time
Reaching, handling, communicating, using near vision/visual depth perception
Must be able to lift and carry up to 40 lbs
Must be able to push/pull up to 50 lbs

Work Environment:

Subject to constant interruptions
Exposed to antisocial behavior and various types of pathogens
Must be able to perform duties from home when circumstances are unavoidable

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

Maintain regular attendance and punctuality.
Welcome and assist employees, applicants, visitors, vendors, and community partners in a professional and courteous manner.
Answer, screen, and direct incoming telephone calls and respond to general inquiries.
Maintain a professional, organized, and welcoming reception area.
Receive, process, and distribute incoming mail, deliveries, and packages.
Assist with the recruitment process, including posting job advertisements, screening resumes, scheduling interviews, and communicating with applicants.
Prepare, maintain, and organize confidential employee and organizational records in compliance with federal and state regulations.
Support the onboarding and offboarding process, including new hire orientation and exit interviews.
Maintain data, update employee/client information, and generate standard reports as needed.
Track and follow up on required certifications, training, and employee documentation.
Assist with planning and coordination of employee events, trainings, and recognition programs.
Support processes and documentation collection.
Ensure confidentiality of all information and employee records.
Perform general administrative tasks such as filing, scanning, and organizing documents.
Maintain electronic and paper filing systems and assist with document retention procedures.
Track and follow up on required certifications, training, licenses, and employee documentation.
Enter, update, and maintain employee and organizational data within HRIS, QuickBase, and other assigned systems.
Generate reports, prepare correspondence, and assist with administrative projects as assigned.
Schedule appointments, meetings, interviews, orientations, and training sessions.
Assist with planning and coordinating employee meetings, trainings, recognition programs, and other organizational events.
Monitor office supply inventory and coordinate purchasing requests as needed.
Travel between office locations to provide administrative support.
Maintain confidentiality of employee, client, and organizational information.
Utilize Microsoft Office applications, HRIS, QuickBase, and other organizational software to perform assigned duties.
Perform other related duties as assigned.

Qualifications

High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration or a related field preferred.
Two (2) years of administrative, receptionist, or office support experience preferred.
Strong organizational, planning, time management, and project coordination skills.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Excellent customer service and interpersonal skills.
Strong attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information with professionalism.
Ability to work independently and collaboratively in a fast-paced environment.
