Estimating / Sales Coordinator

Position Description

Midstate Mechanical LLC is a leading commercial specialty contractor specializing in HVAC (sheet metal/ piping), plumbing, and electrical construction throughout Arizona. We manage, oversee, plan, direct, coordinate, and administer commercial construction and service operations to ensure projects are delivered on time, on budget, and to the highest standards of quality and safety.

About the Role

The Estimating / Sales Coordinator provides administrative and operational support to Midstate Mechanical's Preconstruction Department while assisting with sales coordination, bid preparation, project turnover, contract administration, and reporting.

This position plays a critical role in ensuring the estimating process runs efficiently by coordinating bid opportunities, maintaining estimating databases, preparing RFQ proposals and bid packages, managing project documentation, and supporting communication between estimators, project management, vendors, subcontractors, and clients.

The ideal candidate is highly organized, detail-oriented, able to manage multiple priorities simultaneously, and thrives in a fast-paced commercial construction environment.

This is an In-Office position located in Phoenix, Arizona. We do not offer a "Remote or Hybrid" schedule.

Responsibilities

Coordinate daily administrative activities for the Estimating Department.
Maintain and update bid lists, bid calendars, project opportunities, and estimating schedules.
Obtain, organize, and distribute plans, specifications, addenda, and bid documents.
Coordinate pre-bid meetings and maintain project information throughout the estimating process.
Prepare proposals, bid packages, prequalification documents, bid bonds, scope letters, and supporting documentation.
Track project opportunities, bid results, awarded projects, and estimating metrics.
Coordinate communication with general contractors, owners, architects, suppliers, and subcontractors.
Solicit vendor and subcontractor pricing to support estimating efforts.
Assist estimators with bid day activities and proposal submissions.
Prepare project turnover documentation for successful transition from Estimating to Operations.
Create and maintain project files, contract logs, bid logs, sales reports, and estimating databases.
Coordinate awarded project notifications and issue new project setup documentation.
Maintain contract tracking reports and assist with subcontract administration.
Assist with budgeting reports, backlog reports, forecasting, sales projections, and monthly estimating reports.
Prepare meeting agendas, meeting minutes, and presentation materials for estimating and backlog meetings.
Maintain master vendor lists, contractor databases, proposal templates, and estimating forms.
Support the Sales Team with customer proposals, presentations, marketing materials, and administrative requests.
Ensure estimating documents remain accurate, organized, and compliant with company procedures.
Maintain strict confidentiality regarding estimates, pricing, and company financial information.
Perform additional administrative and estimating support duties as assigned.

Qualifications

Education

Associate's Degree in Business Administration, Construction Management, or a related field preferred.
High School Diploma or GED required.

Experience Required

Minimum 3–5 years of administrative experience supporting an estimating department, construction office, project management team, or commercial construction company.
Experience coordinating commercial construction bids preferred.
Experience supporting estimating, sales, or project management teams preferred.

Required Knowledge

Understanding commercial construction estimating processes.
Familiarity with construction plans, specifications, addenda, and bid documentation.
Strong organizational and document management skills.
Excellent written and verbal communication abilities.
Strong attention to detail and accuracy.
Ability to prioritize multiple deadlines in a fast-paced environment.
Proficiency with Microsoft Office Suite, Adobe Acrobat, Bluebeam, and construction management software.
Experience with estimating software and bid management platforms is preferred.
