Full Job Description

Our Mission:

The mission of Edu-Futuro is to empower youth and families through mentorship, education, leadership development, parent engagement, and workforce development.

Job Purpose:

● The Operations & Administration Specialist (OAS) plays a key role in supporting the organization’s administrative, and operational functions. Reporting to the Finance Manager, this position is responsible for overseeing the onboarding and offboarding processes, administering employee benefits, preparing payroll and reimbursements, handling financial transactions, expense tracking, and providing support for special events.

● The OAS position requires a professional who is self-motivated, detail-oriented, with exceptional organizational and interpersonal skills, and the ability to collaborate with multiple departments to ensure smooth daily operations. The OAS works independently, with limited supervision, maintains the highest level of confidentiality, exercises discretion, and interacts with staff in a fast-paced environment, remaining flexible, proactive, and professional under pressure. The OAS joins a fun work environment where teamwork and laughter are as much a part of the culture as responsibility, timeliness, and accuracy.

Primary Responsibilities:

Employee Records, Payroll, and Benefits:

● Facilitate the onboarding and offboarding processes for staff, AmeriCorps Members, and hourly employees. Ensure timely completion of required forms (identity verification, tax forms, etc.)

● Enroll employees and qualified AmeriCorps members in the organization’s benefits plans.

● Process monthly payroll for staff, AmeriCorps, and hourly employees, including reviewing time tracking sheets and vacation/sick leave requests.

● Process employee exit, including final pay calculations (accrued vacation time), benefits withdrawal, and removal from payroll systems.

● Maintains accurate employee records in ADP and physical personnel files, AmeriCorps members, and hourly employees.

● Informs the organization’s benefit plans, including health insurance, dental insurance, life insurance, disability coverage, and retirement plans to new staff and AmeriCorps.

● Review and update benefit plan costs per individual annually, ensuring accurate enrollment and adjustments.

● Update the payroll master list monthly.

● Updates monthly staff timesheets form.

● Ensures all staff, AmeriCorps, and hourly employees receive copies of their paystub and W2 end of the year.

● Ensures Staff’s retirement check is delivered on time and verifies its processing with the vendor

● Receives and processes fringe benefits compensations for qualified events.

● Other duties as assigned.

Administrative:

● Maintain digital and physical records of credit card transactions.

● Reports accurate monthly expenses.

● Complete account reconciliation not later than the 3rd day of the Month.

● Collects and verifies the supporting documents for issuing for staff, AmeriCorps member’s approved mileage reimbursements, phone bill stipends, advance funds, reimbursements, program-related purchases, and approved vendors.

● Keeps accurate tracking of rental assistance program, ensuring accurate applicant and landlord information

● Issues rental assistance checks and mail payments and provides tracking numbers to Team Leads for follow-up and payment verification.

● Maintain digital and physical records of financial transactions, including issuing checks, processing debit forms, and advance funds reconciliations in corresponding files and logs.

● Pick up checks from the mailing room from donors, sponsors, and other external sources. Keeps an updated record, makes the deposit, and reports to the Finance Manager.

● Prepare and submit monthly donation reports (Bonterra - Salsa, Square).

● Reviews Advance Funds Reconciliation and verifies that the supporting documentation aligns with the program purpose.

● Monitor and ensure completion of the In-Kind donation reported by program Team Leads.

● Other duties as assigned.

Operational:

● In coordination with the Finance Manager, provide general support to the Executive Director, Deputy Director, and other team members as needed.

● Exhibit strong phone etiquette while handling inquiries from beneficiaries, direct inquiries to program Team Leads

● Keeping the incoming call log updated.

● Responsible for ensuring all office printers, phones, and networks are operational and ready to be used.

● Ensure offices and storage are properly organized and maintained.

● Assist staff and AmeriCorps members with setting up the organization's Wi-Fi and printers.

● Provide employees with essential equipment (laptops, badges, t-shirts, etc.)

● Track office supplies, place approved purchase orders, and maintain inventory control, including t-shirts, hoodies and other promotional goods.

● Maintain inventory control of organizational assets.

● Handle all organizational mail and correspondence, receiving and shipping, and re-direct it appropriately.

● Request a Certificate of Insurance (COI) when the organization's program or activity requires it.

● Support staff ‘s travel arrangements and meeting coordination.

● Other duties as assigned.

Special Events Coordination:

● Support the logistics for organizational events such as kick-off ceremonies, graduations, volunteer appreciation days, annual galas, soccer tournaments, trainings, etc.

● Support the Executive Director with event logistics and presentations for Board meetings.

● Saturdays and evening support is required based on program needs
