Kitchen Purchasing Manager

Windows Catering | Alexandria, Virginia
Full-Time | On-Site | Daytime Schedule

Position Summary

Windows Catering is seeking a highly organized and detail-oriented Kitchen Purchasing & Inventory Manager to oversee all purchasing, inventory management, purchase order reconciliation, cost controls, and product sourcing for our culinary operations.

This role is ideal for someone who enjoys working with numbers, managing vendor relationships, maintaining accurate records, and supporting a high-volume culinary operation. The successful candidate will play a critical role in ensuring product availability, inventory accuracy, cost control, and financial accountability throughout the purchasing process.

This position is primarily daytime hours with NO nights required.

Key Responsibilities

Purchasing & Procurement

Manage all food, beverage, disposables, and smallware’s purchasing.
Create and issue purchase orders for all approved purchases.
Source products and negotiate pricing with vendors.
Build and maintain strong supplier relationships.
Ensure timely ordering and delivery of products.
Identify cost-saving opportunities while maintaining quality standards.
Monitor market pricing and proactively seek competitive alternatives when appropriate.

Purchase Order Reconciliation & Financial Controls

Reconcile purchase orders against vendor invoices and receiving documents.
Research and resolve pricing discrepancies, shortages, credits, and billing errors.
Ensure all purchasing records are accurate and properly documented.
Work closely with Accounting and Operations to ensure invoice accuracy and timely processing.
Maintain organized purchasing files and supporting documentation for audits and financial review.

Inventory Management

Maintain accurate inventory levels across all kitchen and warehouse locations.
Conduct weekly and monthly inventory counts.
Monitor stock movement, usage trends, and par levels.
Investigate and resolve inventory discrepancies.
Implement and maintain inventory control procedures to reduce waste and shrinkage.

Cost Control & Reporting

Monitor food costs, product pricing trends, and purchasing activity.
Maintain and regularly update Excel spreadsheets tracking product cost changes and vendor pricing.
Analyze cost increases and communicate significant pricing fluctuations to Culinary and Executive Leadership.
Generate weekly and monthly purchasing, inventory, and food cost reports.
Assist with budgeting, forecasting, and menu costing initiatives.
Help identify opportunities to improve margins and operational efficiency.

Systems & Analytics

Manage purchasing and inventory information within company systems.
Maintain accurate product catalogs, vendor files, and pricing databases.
Utilize advanced Excel functions including formulas, lookups, pivot tables, and reporting tools.
Manage purchasing and inventory data within:
Acumatica
Adaco
Fourth
Or similar ERP and inventory management systems
Generate reports and dashboards to support data-driven decision-making.

Collaboration

Work closely with the Executive Chef, Senior Sous Chef, Operations Team, Finance Department, and Warehouse Team.
Support event forecasting, production planning, and menu costing.
Ensure receiving, storage, and inventory procedures meet company standards.
Communicate product shortages, substitutions, and pricing changes in a timely manner.

Qualifications

Required

2+ years of purchasing, inventory, procurement, or foodservice operations experience.
Strong mathematical, analytical, and organizational skills.
Advanced Microsoft Excel skills with experience maintaining cost-tracking spreadsheets.
Experience with purchase order management and invoice reconciliation.
Exceptional attention to detail and accuracy.
Strong communication and vendor negotiation abilities.
Ability to manage multiple priorities in a fast-paced environment.

Compensation & Benefits

$60,000 to $85,000 based on experience and qualifications.
