Full Job Description

High Country Workplace Technologies (HCWT) is seeking a reliable, detail-oriented Office Manager to join our team and support our growing telecommunications and IT services business. This is a primarily on-site position and ideal for someone who enjoys being the central hub of a small, fast-moving company. This is initially a contract / temporary position but could be a permanent role. There is no opportunity for this to be a remote position. Do not apply if you are unable to work onsite.

About the Role

The Office Manager will oversee daily administrative and operational functions including accounts receivable, accounts payable, invoicing, shipping/receiving, and some customer support. This role is essential to ensuring smooth business operations and supporting our customers and internal team.

Someone with XERO and Hubspot experience would be ideal. The ideal candidate is also organized, dependable, eager to learn, and committed to helping our company grow.

Key Responsibilities

Manage accounts receivable with XERO and accounts payable, including accurate recordkeeping and timely processing
Create, submit, and track work orders and invoices, including those for federal entities through designated government portals
Prepare shipping documents and coordinate outbound shipments
Answer incoming customer calls and provide professional, courteous support
Perform basic updates in customer portals (e.g., password resets, name changes, contact updates)
Maintain office organization, supplies, and vendor coordination
Support company leadership with general administrative tasks as needed
Maintain a consistent on-site presence to support daily office operations

Qualifications

Prior experience with AR/AP, invoicing, and general office administration
Understanding of federal/government invoicing requirements a strong plus
Experience with XERO / Hubspot / MAS 90 / Sage is extremely helpful but not required. Please indicate if you have experience with any of this.
Ability to learn simple technical/portal tasks (password resets, user changes, etc.)
Strong attention to detail, accuracy, and follow-through
Excellent communication and customer service skills
Dependable, organized, and eager to contribute to a growing company
