Full Job Description

Full-time position (32 hours per work week; comp time available) with excellent benefits available in a small, nonprofit regional medical society. Join our diverse, inclusive, dynamic, and nimble team.

PRIMARY ACCOUNTABILITY:

The Development Coordinator will work closely with the Development and Communications team to assist in executing day-to-day department activities and to provide administrative and logistical support. Reporting directly to the Director of Development, this role will support all key areas within and across fundraising and relevant communications, including coordinating community partnerships and fundraising; CRM data entry; donor and member communications; annual campaigns and giving; and assisting with organizational events. Working closely with the Engagement and Membership Manager, the Development Coordinator will provide administrative support during the organization’s annual membership drive.

SPECIFIC RESPONSIBILITIES:

This job description is a general description of the essential job functions. It is not intended to describe all the duties the Development Coordinator may perform.

The Development Coordinator works closely with the development team to coordinate fundraising initiatives, ensure data integrity, and provide consistent, clear communication with donors and members. Must be able to work well, interact effectively, and communicate with a diverse community and staff.

Duties:

1. Direct Fundraising Activities

Provide administrative support to the Director of Development for the planning, launch, and execution of annual campaigns
Assist with launching, tracking, and recording revenue from fundraising campaigns
Provide logistical and administrative support to enhance and grow our monthly giving program
Generate targeted prospect research for individual, corporate, community, and foundation funding
Schedule monthly donor engagement meetings
Help coordinate, draft, and distribute donor materials, including reporting on donation impact
Engage in consistent donor communication via email, phone, and in-person correspondence
Prepare and mail monthly donor thank you cards
Coordinate the design, construction, and completion of the annual report
Prepare monthly fundraising emails focusing on organizational programs

2. CRM Data Entry Organization

Organize and enter member and donor information into Neon CRM
Pull donor mailing lists using Neon reporting systems
Run regular audits of Neon CRM to ensure highly accurate member, donor, and practice information
Ensure donor development forms are updated
Assist with membership data as needed

3. Event Coordination

Assist with organizational events for members and fundraising purposes
Work with local businesses to negotiate non-profit discounts and In-Kind donations for events
Place orders for event supplies and branded materials
Assist with event setup and breakdown, as needed
Assist with the management and tracking of sponsorships and assist with coordinating sponsorship benefits
Manage, organize, and update RSVPs, attendees, and registration information

4. Assist with Organizational Communications:

Assist the Engagement and Membership Manager in social media content creation
Place orders for collateral and mailing materials

5. Attend professional fundraising networking and opportunities representing the organization, as needed.

6. Other related duties as assigned.

EDUCATION:

Minimum requirements:

Bachelor’s degree plus two to three years related experience or equivalent in work experience
Excellence in English grammar, spelling, and punctuation.

CERTIFICATES, LICENSES, REGISTRATIONS: None required.

COMPUTER SKILLS: Proficient in MS Office (MS Word, PowerPoint, Outlook, and Excel). Working knowledge of CRM databases. Experience with Neon CRM a plus. Proficient in data entry and the ability to compile, run, and manage reports from databases. Experience with online marketing programs (e.g. Constant Contact) is desired.

COMMUNICATION SKILLS: Excellent oral and written communication. Must be able to communicate accurately, thoroughly, and responsively to a wide variety of constituents, both externally and internally to the organization. Strong problem-solving and customer service skills. Must be a team player and communicate closely with supervisor and coworkers to keep them apprised of the status of various projects.

ORGANIZATIONAL AND COORDINATION SKILLS:

Ability to organize workload and coordinate multiple activities and projects. Position requires the ability to appropriately and professionally handle multiple and competing priorities and make independent decisions. Strong attention to detail and ability to work with diverse communities.

FOREIGN LANGUAGE SKILLS: None.

PHYSICAL DEMANDS: Office Environment

1. Sitting in a normal seated position for extended periods of time (standing for extended periods of time if using a standing desk)

2. Reaching by extending hand(s) or arm(s) in any direction

3. Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard

4. Communication skills in spoken and written English

5. Physical mobility

6. Driving for extended periods of time or access to alternative, reliable vehicular transportation

7. Ability to lift up to 25 pounds

WORK ENVIRONMENT: WCMS currently operates in a hybrid work environment. Ethics of virtual/remote work must be abided by at all times. Involves frequent use of personal vehicle. Requires occasional early morning, evening, and weekend work. Attendance at a monthly in-office meeting of the entire staff and residence in the WCMS service area is required.
