About the Role:

The Medical Receptionist serves as the first point of contact for patients and visitors within a healthcare facility, playing a crucial role in creating a welcoming and efficient environment. This position is responsible for managing patient appointments, handling inquiries, and ensuring accurate and confidential processing of patient information. The Medical Receptionist coordinates communication between patients, medical staff, and administrative personnel to facilitate smooth daily operations. By maintaining organized records and managing front desk activities, this role supports the overall delivery of quality patient care. Ultimately, the Medical Receptionist contributes to a positive patient experience and the effective functioning of the medical office.

Minimum Qualifications:

High school diploma or equivalent.
Previous experience in a medical office or healthcare setting preferred.
Basic knowledge of medical terminology and healthcare procedures.
Proficiency with computer systems and electronic health record (EHR) software.
Strong communication and interpersonal skills.

Preferred Qualifications:

Certification as a Medical Receptionist or Medical Administrative Assistant.
Experience with insurance verification and billing processes.
Familiarity with HIPAA regulations and patient privacy standards.
Multilingual abilities to assist a diverse patient population.
Advanced proficiency in scheduling software and office management tools.

Responsibilities:

Greet and welcome patients and visitors promptly and professionally upon arrival.
Schedule, confirm, and manage patient appointments using electronic health record (EHR) systems.
Answer phone calls, respond to patient inquiries, and direct calls to appropriate medical staff.
Collect and verify patient information, including insurance details and medical history, ensuring accuracy and confidentiality.
Maintain and update patient records in compliance with healthcare regulations and privacy standards.
Coordinate patient check-in and check-out processes efficiently to minimize wait times.
Handle billing inquiries and assist with processing payments as needed.
Communicate effectively with medical staff to relay patient information and appointment updates.
Manage office supplies and ensure the reception area is clean and organized.
Assist with administrative tasks such as filing, faxing, and preparing documents for medical staff.

The Medical Receptionist utilizes strong organizational skills daily to manage appointment schedules and patient records accurately, ensuring smooth office operations. Effective communication skills are essential for interacting with patients, medical staff, and insurance providers, facilitating clear and compassionate exchanges.
