Job Summary

Performs a variety of clerical activities related to the function of the transportation department, recording and maintaining daily financial transactions.

Minimum Qualifications

High School Diploma or equivalent
21 Years of Age or Older

Preferred Qualifications

Experience in a clerical or accounting role
Experience working in a public school or school district

Essential Functions

Maintains all financial transactions and records in accordance with the Local School Accounting
Standard Operating Procedures, Local School Accounting Chart of Accounts, and Board Policies and Administrative Rules.
Verifies vendor invoices and resolves any discrepancies.
Ensures invoices are paid in accordance with the terms of payment; monitors outstanding checkreport and collaborates with central office on required reporting
Routes all purchase requests with attached supporting documentation to the Director for approval.
Process all approved orders, including online orders and purchase orders.
Monitors and supports payroll functions such as leave, timesheets, overtime, etc
Supports the benefits department with FMLA, Worker's Compensation, Leave without Pay, etc
Prepare, process and submit insurance paperwork related to vehicle incidents and accidents.
Assist in the implementation and use of technology to strengthen transportation operations, including but not limited to assistance with employee email and parent/student applications.
Receives and responds to telephone calls, emails and voicemails regarding Transportation department services; provides information to appropriate personnel regarding complaints and concerns from parents, students and bus drivers
Maintain driver leave and time sheets.
Assists with maintaining complete records for vehicles, including tags and insurance.
Maintain knowledge of GPS and Routing software.
Performs other duties as assigned by the Director.

Work is performed in a standard in-person office environment
Sedentary work: May require lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like files, ledgers, and small tools

This postion requires:

Balancing: Maintaining body equilibrium to prevent falling when walking, standing or crouching on narrow, slippery or erratically moving surfaces.
Stooping: Bending body downward and forward by bending spine at the waist. Requires full use of the lower extremities and back muscles.
Reaching: Extending hand(s) and arm(s) in any direction.

Talking: Expressing or exchanging ideas by means of the spoken word. Those activities in which one must convey detailed or important spoken instructions to others accurately, loudly, or quickly.
Hearing: Ability to receive detailed information through oral communication, and to make fine discrimination in sounds, such as when making fine adjustments on machined parts with or without correction.
Vision: The ability to perceive the nature of objects by the eye.
Interaction with Others: Ability to maintain, on a regular and consistent basis, relationships that are not characterized by high levels of hostility, social withdrawal or failure to communicate. Ability to be flexible relative to daily routines. Ability to demonstrate sensitivity to the differences among diverse populations.
Concentration: Ability to maintain workflow and thought processes in the presence of frequent distractions. Ability to ignore irrelevant sights or sounds and intrusive thoughts or stimuli. Ability to manage multiple tasks simultaneously with only few or no errors.

Ability to adjust work processes without incident when new and unexpected directions are given relative to a project that may be in process. Ability to maintain composure and not compound a situation when interacting with persons who may be angry, demanding or otherwise less than polite.
