Full Job Description

Position Summary:

Under the direction of the Economic Development Director, the Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the Economic Development Department. Responsibilities include managing correspondence, coordinating meetings and schedules, maintaining records, preparing reports, processing departmental documents, and assisting businesses, stakeholders, and the public. This position requires strong organizational, communication, and customer service skills, along with the ability to manage multiple priorities while maintaining professionalism and confidentiality.

Essential Duties and Responsibilities:

Perform general clerical duties including data entry, filing, photocopying, and scanning.
Draft, proofread, and distribute correspondence, memos, agendas, and reports.
Maintain accurate and up-to-date records, documents, and filing systems.
Schedule and coordinate meetings, appointments, and events for department staff.
Prepare meeting materials and take and distribute meeting minutes as needed.
Serve as a primary point of contact for the public, answering phones, emails, and in-person inquiries, providing accurate information or directing inquiries to the appropriate personnel.
Process invoices, purchase orders, and assist with budget tracking and financial reporting.
Maintain and organize official municipal records in compliance with records retention policies.
Communicate effectively with internal staff, elected officials, external agencies, businesses, and community partners.
Utilize various office software and municipal systems for word processing, spreadsheets, databases, and scheduling.
Maintain office equipment and request maintenance or supplies as needed.
Provide support on special projects, programs, or community initiatives as directed.
Assist in compiling data and preparing reports for municipal presentations, economic development initiatives, or public use.
Conduct research using a variety of resources, including Geographic Information Systems (GIS), LexisNexis, economic and demographic databases, public records, and web-based research tools.
Provide administrative support to assigned economic development boards, commissions, committees, and task forces.
Maintain the highest level of confidentiality when handling sensitive information, including real estate transactions, litigation, personnel matters, proprietary business information, and other confidential records.
Develop professional flyers, brochures, presentations, reports, and other marketing and educational materials for public meetings, workshops, training sessions, and community outreach initiatives.
Demonstrate proficiency in social media platforms by creating and managing content that promotes department programs, events, initiatives, project milestones, and accomplishments to enhance public awareness and engagement.
Possess the ability to communicate highly complex economic development programs, policies, and initiatives in a clear, concise, and understandable manner for elected officials, stakeholders, businesses, and the general public.
Handle sensitive information with discretion and adhere to all municipal policies, procedures, and applicable laws and regulations.
Perform other related duties as required.

Minimum Qualifications

High School Diploma or equivalent
2 years of customer service experience
Administrative experience, preferably in a government or public service environment.
Proficiency in, Google Suite, and other relevant software.
Valid Georgia Class C driver’s license.

Preferred Qualifications

Bachelor's degree in Business Administration, Political Science, Public Administration, Economics, Urban Planning, or a related field preferred.

Knowledge, Skills, and Abilities

Knowledge of modern office policies and procedures.
Knowledge of customer service principles and practices.
Knowledge of research and report preparation principles.
Skill in the use of computers and job-related software programs.
Skill in the operation of modern office equipment.
Skill in oral and written communication

Working Conditions:

Occasionally: Standing, walking, bending over, reaching overhead, crouching, lifting (11 – 25 lbs), carrying (11 – 25 lbs), handling stress and emotions. Frequently: Sitting, talking, repetitive use of hands/arms, concentrating on tasks, examining/observing details, making decisions, remembering details.
