Full Job Description

Location: Atlanta, GA

Status: Full-Time,

FLSA: Non-Exempt

Schedule: Onsite only; Generally, 8 am-4:30 pm and early mornings, evenings, weekends, and holidays as required by event schedules

Edlen Electrical Exhibition Services is seeking a detail‑oriented, customer‑focused Event Services Administrative Coordinator (ESAC) to support event operations, administrative workflows, payroll processes, and exhibitor communications. This role is essential to maintaining accurate documentation, supporting event staff, and ensuring consistent service delivery in a fast‑paced environment.

Key Responsibilities

Administrative & Office Operations

· Monitor and respond to incoming communications, including email, voicemail, and customer inquiries.

· Assist event staff with show preparation and general administrative support.

· Manage scheduling, calendars, and office communications.

· Maintain a clean, organized office environment.

· Coordinate office events as directed by the General Manager.

Payroll & HR Support

· Assist with onboarding, offboarding, and union payroll, ensuring accurate timesheets and timely submittal.

· Prepare new-hire packets for electricians and ensure proper documentation is submitted to Payroll.

· Support employee relations documentation at the direction of management.

Accounts Payable & Receivable

· Process incoming checks through EMP and apply electronic payments.

· Apply wire transfers to booths and officials as directed.

Event Coordination & EMP Management

· Assist exhibitors via email and phone regarding event orders and general information.

· Create and update events in EMP.

· Support post-event tasks, including proper handling and storage of event communications.

· Perform filing, scanning, and end-of-year archiving.

Reporting & Compliance

· Collaborate with management to submit safety training sheets and licensing documentation to Corporate.

· Maintain DMV and vehicle registration records when needed.

Customer & Team Support

· Provide exceptional support to clients and team members, resolving issues promptly.

· Assist colleagues with administrative tasks and event support as needed.

Qualifications

Education & Experience

· High School Diploma or equivalent required.

· Minimum 1 year of customer service experience

· Experience in tradeshows, events, expositions, conventions, or hospitality is a plus

Skills & Competencies

· Strong customer service and communication skills.

· Ability to interpret procedural guides and software documentation.

· Basic math proficiency.

· Sound judgment and ability to follow written, verbal, or diagram-based instructions.

· Proficiency in Microsoft Word, Excel, Outlook, and TEAMS.

· Highly detail‑oriented with strong organizational and time‑management skills.

Physical Requirements

· Ability to sit/stand for extended periods and walk across level surfaces.

· Occasional lifting up to 25 lbs. using safe techniques.

Work Environment & Scheduling

· Onsite position; not eligible for hybrid or remote work.

· Must be available for early mornings, evenings, weekends, and holidays based on event schedules.

· Schedules may shift without notice.

· Reliable transportation required.
