Senior Workplace Operations Coordinator

Under the direction of the Workplace Operations Manager, the Atlanta Senior Workplace Coordinator serves as the primary on-site workplace lead our Atlanta office, ensuring a welcoming, professional, safe, and secure environment for colleagues, clients, and guests.
This role is highly visible and hands-on, requiring good judgment, initiative, and accountability. As AXA XL expands its Atlanta office, the Senior Workplace Coordinator will have a direct impact on shaping the reopening experience, office culture, and colleague community—helping prepare colleagues for an exciting transition and ensuring the office evolves in a thoughtful, welcoming, and engaging way.
What you’ll be doing
What will your essential responsibilities include?

Serve as the primary on-site workplace lead for assigned office location(s), supporting highly engaged employees, stakeholders, and visitors.

Model and champion a hospitality-driven workplace experience grounded in responsiveness, care, and professionalism.

Act as a visible workplace ambassador, setting the tone for service quality and office culture.

Play an active role in shaping the Atlanta office reopening experience, helping colleagues feel informed, welcomed, and excited about the transition.

Serve as the first point of contact for facilities-related issues including lighting, HVAC, cleaning, furniture, and general maintenance.

Troubleshoot issues independently where possible and coordinate with building management, vendors, and Workplace leadership to ensure timely resolution.

Act as the on-site liaison for building management and vendors requiring access for day-to-day operations or project work.

Manage location-specific invoices, orders, and purchase requests as assigned.

Maintain the location’s Workplace email inbox, ensuring timely and professional response to requests.

Manage desk reservations and seating systems (e.g., Freespace or similar tools), acting as the local subject-matter resource.

Support operational tracking, documentation, and reporting as required.

Own all on-site mail and delivery operations, including certified mail and outgoing shipments.

Ensure reception areas, meeting rooms, pantries, wellness rooms, copy areas, kitchens, and shared spaces are clean, stocked, organized, and ready for daily use.

Collaborate on meeting and event setup for employee and stakeholder engagements

Act as the Incident Management Team (IMT) Coordinator for the location.

Partner with the Physical Safety & Security (PSS) team to support annual certifications, drills, and site readiness.

Support access management, visitor protocols, and escalation procedures

Support new hire onboarding by delivering office tours, issuing access credentials, completing I-9 verification where applicable, and serving as a first-day resource.

Partner with Workplace leadership, Business Resource Groups, and local employees to plan and host Workplace-sponsored events that build connection and engagement.

Execute post-event surveys and gather colleague feedback to inform continuous improvement.

Prepare and distribute office communications such as newsletters in partnership with the Workplace team.

Partner with the broader Americas Workplace team to provide cross-coverage (e.g., phone coverage, remote task support) when needed.

Provide thoughtful observations and recommendations to Workplace leadership regarding office improvements and experience enhancements.

Support additional projects, reporting, or initiatives as assigned.

Required Skills and Abilities:

Intermediate level experience in workplace coordination, office administration, hospitality, or a related role.

Experience supporting an office opening, reopening, relocation, or major workplace transition is a plus, especially where colleague readiness, communications, and engagement were key to success.

Demonstrated ability to operate independently while staying aligned with leadership direction.

Effective organizational and multitasking skills, with the ability to prioritize competing needs.

Excellent interpersonal, verbal, and written communication skills.

Proactive, solutions-oriented mindset with proactive observational skills.

Positive, collaborative, and professional demeanor.

Proficiency with Microsoft 365 products and workplace tools.

Ability to lift up to 40 pounds as part of regular workplace duties.

Ability to work on-site five days per week.

The U.S. base salary range for this position is USD : 63,900-91,100.
Actual pay will be determined based upon the individual’s skills, experience and location. We strive for market alignment and internal equity with our colleagues’ pay.
