Full Job Description

Overview

We are seeking a dynamic and detail-oriented Payroll & Human Resources Administrator to join our team. This vital role combines payroll management, HR administration, and financial oversight to ensure seamless operations across our organization. The ideal candidate will be passionate about accuracy, compliance, and delivering exceptional support to our staff and leadership. In this position, you will leverage your expertise in payroll systems, HRIS platforms, and accounting software to streamline processes, maintain compliance with labor laws, and contribute to a positive workplace environment. Your proactive approach will help us uphold the highest standards of financial integrity and employee satisfaction. This is an hourly pay role, eligible for overtime pay.

Duties

THIS ROLE IS DATA ENTRY INTENSIVE AND REQUIRES ACUTE ATTENTION TO DETAIL IN PROCESSING LARGE AMOUNTS OF PAYROLL DATA
Manage QuickBooks Payroll WEEKLY processing for approximately 65 employees using systems to ensure timely and accurate paycheck disbursements
Upload employee timesheets to QB and reconcile correct job, class, and payroll item for accurate job costing
Administer employee benefits programs including enrollment, changes, and compliance with applicable laws
Maintain and update HRIS databases with current employee information and employment records
Reconcile payroll accounts through general ledger accounting practices, ensuring accuracy in debits & credits and journal entries
Ensure compliance with employment & labor laws by staying current on legal updates and implementing necessary adjustments
Prepare payroll tax filings and oversee tax law adherence related to payroll processing
Conduct data entry related to payroll transactions, benefits administration, accounts payable/receivable, as needed
Support accounting and benefit plans functions such as accounts payable/receivable account reconciliations
Assist in analyzing financial data for payroll management and reporting purposes using financial software like QuickBooks or similar tools
Assist departmental managers with recruiting and talent acquisition
Collaborate with divisional teams on employee onboarding, offboarding, and recordkeeping activities
Maintain meticulous documentation of payroll transactions, audit trails, and compliance records to support internal reviews or audits

Experience

MINIMUM 5 YEARS PAYROLL PROCESSING EXPERIENCE UTILIZING QUICKBOOKS, OR SIMILAR SOFTWARE
Proven experience managing weekly payroll systems with a strong understanding of payroll processing workflows
Solid background in corporate accounting principles including general ledger reconciliation, journal entries, debits & credits, and double-entry bookkeeping
Familiarity with labor law compliance requirements related to employment taxes and wage regulations across different jurisdictions
Demonstrated ability to handle complex data entry tasks accurately within time-sensitive environments
Knowledge of benefits administration processes within HRIS platforms along with experience supporting human resources functions
Strong analysis skills for financial data interpretation and reporting related to payroll management
Experience working with construction industry on tax filings or regulatory compliance is a plus
Technical proficiency in accounting software such as QuickBooks or similar tools; experience with time & attendance systems is required
Excellent organizational skills with attention to detail in account reconciliation and bookkeeping activities
Ability to communicate effectively across departments while maintaining confidentiality of sensitive information
Fluent in Spanish, written and verbal, Required
