We are hiring a Sr. Program Administrator to support a growing manufacturing team in Austin, TX. This is a great opportunity for someone with strong administrative, customer service, order entry, manufacturing support, RMA, or program coordination experience who is ready to take the next step in their career.

The Sr. Program Administrator will support the Program Management team and help manage customer accounts, order activity, documentation, returned materials, production updates, and communication between internal departments. This role is ideal for someone who is organized, detail-oriented, comfortable working in a fast-paced environment, and able to communicate professionally with customers, production teams, quality teams, supply chain, engineering, and leadership.

Responsibilities:

Support assigned customer accounts and help ensure customer expectations are met or exceeded.
Assist the Program Manager with daily program administration, customer communication, and order follow-up.
Process customer RMAs, order entries, change notices, returned materials, and related documentation.
Track and update sales orders, delivery schedules, equipment returns, repairs, replacements, and customer requests.
Maintain accurate records of returns, pricing changes, schedule changes, product updates, and customer account activity.
Communicate with customers, sales representatives, service teams, production, quality, planning, supply chain, and engineering departments.
Update databases and internal systems with order status, return status, inventory updates, and customer information.
Organize, sort, file, and maintain service documents, forms, program records, and customer-related paperwork.
Help resolve return credit issues, accounts receivable concerns, excess and obsolete material issues, and inventory-related updates.
Support backlog and demand management by working with planning teams to help ensure proper production and material planning.
Review customer contract terms and understand how they impact the order process, pricing, and customer requirements.
Assist with tracking project milestones, program updates, documentation, and shipment readiness.
Work in a high-volume manufacturing environment while balancing customer service, compliance, data accuracy, and operational support.

Qualifications:

Bachelor’s degree in Business Administration, Supply Chain, Engineering, or a related field preferred, but not required with strong related experience.
5+ years of project administration, program coordination, customer account support, order processing, or manufacturing administrative experience preferred.
Manufacturing experience is strongly preferred, especially in precision machining, CNC, aerospace, automotive, medical device, or mechanical assembly environments.
Experience with RMA processing, order entry, customer accounts, documentation, production support, or supply chain support is a plus.
Strong communication skills and ability to interact professionally with customers, machinists, quality inspectors, production teams, and leadership.
Ability to work independently, multitask, prioritize, and stay organized while working under pressure.
Strong attention to detail and ability to maintain accurate records and documentation.
Proficiency with Excel, Google Sheets, or similar data tools.
Oracle experience is a plus, but training may be provided.
Excellent organizational, interpersonal, writing, and problem-solving skills.
