About Us

We are a premier concierge medical practice based in Austin, located in Bee Cave near the Austin Galleria. Our practice is dedicated to delivering highly personalized, patient-centered healthcare in a professional, efficient, and welcoming environment. We pride ourselves on exceptional service and attention to detail.

We are seeking an experienced, confident, and highly organized Office Administrator to serve as the first point of contact for our clients while supporting the daily operations and growth of our practice.

Key Responsibilities

Client Interaction & Front Office Management

Greet clients warmly, manage incoming calls, and serve as a professional liaison with medical practices, vendors, and partners.
Oversee front desk operations, appointment scheduling, and ensure an exceptional patient experience.
Proactively engage prospective clients, convert inquiries into appointments, and support practice growth initiatives.

Clinic Operations

Lead daily clinic operations to ensure efficient workflows and a high‑quality patient journey.
Maintain compliance with healthcare regulations, HIPAA standards, and internal policies.
Monitor and manage office and medical supplies, equipment, and inventory.
Generate and review reports, track key metrics, and identify opportunities for operational improvement.

Administrative Support

Maintain an organized and efficient work environment including filing, scanning, and managing receipts.
Manage the digital filing system with consistent folder structures, version control, and SharePoint organization.
Ensure accuracy and confidentiality of all client records.
Assist with marketing initiatives, including light social media posting and referral coordination.

Qualifications

5+ years of professional office or administrative experience in a structured work environment
Strong Microsoft Office 365 skills required, especially Teams, Outlook, Excel, and SharePoint
Proven ability to work independently and manage responsibilities with minimal supervision
Highly organized with strong multitasking skills
Professional phone presence and excellent written communication skills
High attention to detail and accuracy
Reliable and consistent availability during weekday business hours
Experience with reporting, metrics tracking, or quality improvement initiatives preferred
Experience supporting practice growth or coordinating projects is a plus
