Main Duties and Responsibilities

Dental office manager plays a central role in keeping the practice running smoothly—clinically, financially, and operationally. The job blends leadership, organization, and patient-focused service. Here’s a clear breakdown of the core duties:

1. Staff Management & Leadership
Oversee front desk, billing, and clinical support staff. This includes hiring, training, scheduling, performance reviews, and resolving conflicts. Creating a positive, team-oriented environment is key.

2. Daily Operations
Ensure the office runs efficiently each day—appointments are managed properly, patient flow is smooth, and any disruptions are handled quickly.

3. Financial Management
Supervise billing, insurance claims, collections, and accounts receivable. Monitor revenue, control expenses, and help meet production goals.

4. Patient Experience
Maintain high standards of customer service. Address patient concerns, manage complaints professionally, and ensure a welcoming environment.

5. Insurance & Billing Oversight
Ensure accurate coding, timely claim submissions, and follow-up on denials. Stay updated with insurance policies and regulations.

6. Compliance & Regulations
Maintain compliance with OSHA, HIPAA, and state dental board regulations. Ensure proper documentation, infection control protocols, and staff training.

7. Scheduling & Productivity
Optimize the provider schedule to reduce gaps and maximize efficiency while maintaining quality care.

8. Inventory & Supplies
Track and order dental and office supplies, manage vendor relationships, and control costs.

9. Marketing & Practice Growth
Coordinate marketing efforts—social media, promotions, patient referrals—to help grow the practice.

10. Communication & Coordination
Act as the bridge between dentists, staff, patients, labs, and external partners. Ensure everyone is aligned.

Skills and Abilities

Fluent in English (verbal and written)
Knowledge of dental terminology
Basic computer proficiency
Strong interpersonal and communication skills
Solution-oriented mindset
High attention to detail

Education and Experience

Clinical dental experience
Management experience
Treatment coordinating experience
Proven ability to manage and optimize patient/provider scheduling
Experience with OpenDental, and Modento preferred

Pay: $28.00 - $36.00 per hour
