Event Sales Manager & Wedding Coordinator

Vintage Villas Hotel & Events, overlooking beautiful Lake Travis, is seeking a detail-oriented, organized, and creative Event Sales Manager to join our team.

This position is responsible for generating and managing wedding, social, and corporate event business while serving as the day-of wedding coordinator for all booked weddings. The ideal candidate is passionate about hospitality, has corporate sales experience in the Austin market, has knowledge and experience with social marketing and excels at delivering exceptional client experiences from initial inquiry through event execution.

Vintage Villas & Events is a wedding and a corporate meeting venue. Vintage Villas hosts primarily weekend weddings along with midweek corporate meetings and special events. This role combines proactive sales, planning, coordination, and client relationship management.

Key Responsibilities

Proactively generate event business through prospecting, lead generation, networking, social media engagement, participation in industry events, and outstanding customer service.
Manage all communication with event clients from initial inquiry through event completion, including emails, phone calls, planning meetings, and follow-up correspondence.
Conduct venue tours for prospective clients and site visits for contracted events.
Serve as the event coordinator for all events, ensuring seamless event execution and an exceptional client experience.
Coordinate with venue staff, vendors, and event professionals to ensure all event details are executed successfully.
Develop and finalize event timelines, floor plans, menus, and other event logistics.
Conduct final walkthroughs with clients and prepare event invoices and billing documentation.
Create detailed event orders and communicate event requirements effectively to all hotel departments.
Maintain accurate, organized, and comprehensive client files and event records.
Build and maintain relationships within the local community and actively participate in wedding and hospitality industry organizations.
Assist clients with vendor recommendations and event planning resources.
Identify opportunities to improve processes, enhance efficiency, and elevate the overall client experience.
Adhere to all Vintage Villas policies and procedures, including workplace safety and cleanliness standards.
Perform additional duties as assigned to support the successful operation of the hotel and event venue.

Qualifications

Up to two years of experience in wedding sales, event coordination, hospitality sales, social marketing and corporate meeting planning.
Demonstrated success in customer-facing sales and event management roles.
Excellent communication, organizational, and interpersonal skills.
Strong attention to detail and the ability to manage multiple priorities simultaneously.
Strong customer service skills with a commitment to delivering exceptional guest experiences.
Ability to work a flexible schedule, including weekends, evenings, and holidays as needed.
Willingness to attend industry events, participates in professional organizations, and represents Vintage Villas within the community.

What we’re looking For

This is a highly visible client-facing role that requires confidence in meeting with clients, leading tours, managing event details, and representing the Vintage Villas brand with professionalism and enthusiasm. Living in the Lake Travis, Lakeway or NW Austin area is beneficial.
