Westlake Aesthetics is a premier medical spa dedicated to delivering exceptional aesthetic treatments, personalized care, and an elevated patient experience. We are seeking an experienced, results-driven Medical Spa Manager to lead our team and oversee the day-to-day operations of our clinic.

This leadership role is ideal for an individual who is passionate about developing high-performing teams, driving business growth, and creating an outstanding patient experience while maintaining operational excellence.

Position Summary

The Medical Spa Manager is responsible for the overall operational, financial, and team performance of the clinic. This role partners closely with providers and ownership to drive revenue, optimize profitability, develop team members, and ensure a consistent, luxury-level patient experience.

The ideal candidate is a hands-on leader who enjoys coaching people, improving processes, and achieving measurable business results.

Key Responsibilities Clinic Operations

Oversee the daily operations of the medical spa to ensure efficient, high-quality service.
Maintain exceptional standards for patient experience, cleanliness, safety, and operational excellence.
Ensure compliance with company policies, HIPAA requirements, OSHA standards, and applicable state regulations.
Manage clinic scheduling, workflow, inventory, and operational processes.
Identify opportunities to improve efficiency and enhance the patient experience.

Financial Performance

Drive clinic revenue and profitability through effective leadership and operational management.
Monitor and analyze key performance indicators (KPIs) and implement action plans to achieve business goals.
Manage payroll, labor costs, inventory, and operating expenses.
Support budgeting and financial planning initiatives.
Promote retail sales, memberships, and treatment plan conversions.

Leadership & Team Development

Recruit, hire, onboard, and develop a high-performing team.
Provide coaching, feedback, and ongoing performance management.
Conduct regular team meetings and one-on-one coaching sessions.
Foster a positive, collaborative, and accountable workplace culture.
Support employee engagement, retention, and professional development.

Patient Experience

Ensure every patient receives exceptional service from consultation through follow-up care.
Resolve patient concerns professionally and promptly.
Monitor patient satisfaction and online reviews to drive continuous improvement.
Promote a welcoming, luxury environment that encourages long-term patient relationships.

Sales & Business Growth

Lead the team in achieving monthly revenue and performance goals.
Monitor provider schedules and maximize utilization.
Drive new patient acquisition, retention, memberships, and retail performance.
Partner with marketing initiatives, community events, and promotional campaigns.
Support providers with treatment plan conversions and patient education.

Qualifications

Minimum 3–5 years of leadership experience in a medical spa, aesthetics, healthcare, hospitality, retail, or wellness environment.
Previous management experience required.
Strong business acumen with the ability to interpret financial and operational reports.
Excellent leadership, communication, and coaching skills.
Experience managing schedules, staffing, and daily operations.
Comfortable using EMR, scheduling, POS, and reporting systems.
Highly organized, self-motivated, and results-oriented.
Passion for aesthetics, wellness, and exceptional customer service.
