We are a growing tax, bookkeeping, accounting, and business services firm seeking a highly organized and proactive Client Success & Operations Coordinator.
This is primarily a remote position, but it is not a passive work-from-home role. We are looking for someone who is disciplined, responsive, accountable, and comfortable taking ownership of their responsibilities without requiring constant supervision.
The ideal candidate will have prior experience in executive or administrative support, sales, call center/customer service, accounting or bookkeeping environments, and CRM/pipeline management.
This is much more than a traditional administrative assistant position. You will play a direct role in client success, lead conversion, pipeline management, operational organization, and the continued growth of the firm.
Primary ResponsibilitiesClient Communication & Executive/Administrative Support
- Answer inbound calls and respond professionally and promptly to client inquiries
- Serve as a primary point of contact for client communication and administrative support
- Manage scheduling, calendars, consultations, and appointment confirmations
- Send reminders for meetings, deadlines, documents, onboarding tasks, and follow-up
- Monitor inboxes, voicemail, and client communications
- Route client questions and requests to the appropriate team member
- Assist leadership with scheduling, organization, follow-up, and administrative priorities
- Maintain strict professionalism, confidentiality, and attention to detail
- Work independently in a remote environment while maintaining excellent communication and accountability
Sales, Lead & Pipeline Management
- Respond quickly to website inquiries, inbound calls, and new leads
- Conduct consistent daily follow-up with prospective clients
- Manage leads through the company’s CRM and sales pipeline
- Maintain accurate notes, statuses, follow-up dates, and next steps
- Ensure no qualified lead falls through the cracks
- Qualify prospective clients and gather preliminary information about their needs
- Confidently explain firm services, pricing structures, onboarding processes, and next steps
- Convert and onboard standard tax preparation clients when appropriate
- Schedule consultations for higher-level tax preparation, bookkeeping, accounting, and tax planning opportunities
- Follow up consistently with prospects to improve conversion rates
- Identify qualified and high-value opportunities for escalation
- Bring a professional, sales-minded approach to client conversations without using high-pressure tactics
Previous sales, inside sales, call center, or phone-based customer service experience is highly preferred.
Client Onboarding & Workflow Coordination
- Manage new-client onboarding from initial intake through completion
- Send onboarding forms, engagement documents, and portal instructions
- Follow up regarding missing documents, incomplete forms, and outstanding requirements
- Maintain detailed onboarding checklists
- Update CRM systems, client portals, and client records
- Assist with proposals, engagement letters, and workflow administration
- Track progress across bookkeeping, accounting, tax preparation, and tax planning services
- Coordinate recurring client communication
- Proactively identify stalled tasks and follow up without waiting to be asked
CRM & Operational Management
- Maintain accurate and up-to-date CRM records
- Manage lead and client pipeline activity
- Track follow-up dates, appointments, opportunities, and next actions
- Keep digital files and internal records organized
- Perform administrative support and data entry
- Identify opportunities to improve workflows and administrative efficiency
- Help establish processes that create greater accountability and visibility across the organization
- Assist with operational support during peak tax periods
- Occasionally travel locally for mailing, document drop-offs, meetings, or other administrative needs
- Occasionally represent the firm at networking, business, or community events
Tax Season & Peak Availability Requirements
This position is particularly important during our busiest periods.
Candidates must have reliable availability and should not plan extended absences or vacations during:
January 1 through April 15
August 15 through October 15
Dependability and availability during these periods are essential.
Peak-season responsibilities may include organizer reminders, appointment confirmations, document collection, e-signature follow-up, client status updates, CRM management, workflow coordination, and additional client communication.
Additional in-office or on-site support may occasionally be required during peak periods.
