Job Description

The Accounts Payable Specialist supports the company’s accounts payable and licensing functions. This role is responsible for processing invoices, maintaining vendor records, preparing payments, reconciling accounts, and tracking business licenses across multiple locations.

The ideal candidate is organized, accurate, responsive, and comfortable working in a high-volume environment.

Job Responsibilities

· Review, code, and process vendor invoices through Ottimate.

· Confirm invoices have proper approvals, documentation, and general ledger coding.

· Follow up on outstanding approvals and resolve invoice discrepancies.

· Prepare payment batches, including checks and electronic payments.

· Maintain accurate vendor records, tax documents, and payment information.

· Respond to vendor and internal questions regarding invoices and payments.

· Reconcile vendor statements, credits, outstanding checks, and account balances.

· Support month-end close, including accruals, reconciliations, and AP reports.

· Assist with annual 1099 preparation and audit requests.

· Maintain organized and accurate AP records.

· Track business and operational licenses, permits, renewals, and expiration dates.

· Coordinate licensing applications, payments, and supporting documentation.

· Communicate with location leaders, government agencies, and vendors regarding licensing requirements.

· Escalate payment, licensing, or compliance concerns to the Accounts Payable Manager.

· Follow company approval processes and internal controls.

Required Skills

· Ability to work effectively with vendors, location leaders, and internal departments.

· Dependable attendance and the ability to work in the Austin office five days per week.

Education & Experience

· High school diploma or equivalent required.

· Associate degree in Accounting, Finance, Business, or a related field preferred.

· Two or more years of accounts payable, bookkeeping, or accounting support experience preferred.

· Experience in a multi-location or high-volume organization preferred.

· Experience with Ottimate or another AP automation system preferred.

· Working knowledge of invoice processing, vendor management, account reconciliation, and payment processing.

· Proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications.

Physical Requirements

· Ability to remain in a stationary position for extended periods.

· Ability to operate a computer and standard office equipment.

· Ability to communicate effectively in person, by telephone, and electronically.

· Ability to occasionally lift and carry materials weighing up to 20 pounds.
