Full Job Description

This position must have open availability. Must be able to work a combination of 7am - 3pm and 3pm-11pm. Must also be able to work weekends and holidays.

Overview
We are seeking a dynamic and friendly Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks to ensure a smooth and professional environment. Your energetic approach and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant workplace.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle appointment scheduling, calendar management, and coordinate meetings using Google Workspace and Microsoft Office tools
Perform data entry, filing, and maintain accurate records with attention to detail and proofreading skills
Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and document organization
Provide customer support by addressing inquiries via phone or email with professionalism and clarity
Assist with clerical duties including typing, proofreading, and supporting administrative projects as needed

Requirements

Proven experience in office management or administrative roles, preferably in a medical or dental setting
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Bilingual abilities are highly desirable to serve diverse client needs
Previous experience with front desk operations, multi-line phone systems, data entry, filing, and customer service is preferred
Knowledge of clerical procedures such as proofreading, calendar management, and record keeping
Exceptional phone etiquette and communication skills to handle inquiries professionally
Experience with bookkeeping software like QuickBooks or similar tools is a plus
Personal assistant or medical receptionist experience will be considered an asset
