Full Job Description

Overview

We are a growing window and glass company seeking a dependable and detail-oriented HR & Office Administrator to support our day-to-day operations. This role is responsible for payroll administration, employee onboarding, HR recordkeeping, and a variety of office administrative functions. The ideal candidate has hands-on payroll experience, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

Payroll Administration
Maintain time and attendance profiles.

Human Resources & Onboarding

Coordinate onboarding for new hires, including employment paperwork, orientation, and system setup.
Complete offboarding tasks.
Maintain employee personnel files and HR records.
Maintain Time off Calendar.
Assist with recruiting.
Assist with benefits enrollment and employee communications.
Support compliance with company policies and employment regulations.
Coordinate employee training records and certifications as needed.
Assist with Workers' Compensation claims and reporting.

Office Administration

Assist with sales tax filings for multiple locations.
Manage office supplies, equipment, and vendor relationships.
Assist with filing, document management, and record retention.
Support management with special projects and miscellaneous office tasks.
Help maintain organized and efficient office operations.
Process incoming mail.
Process bi-weekly payroll accurately and on time.
Maintain employee payroll records and ensure compliance with federal, state, and local regulations.
Manage payroll deductions, garnishments, benefits, and timekeeping records.
Prepare and submit payroll-related reports as required.
Assist with year-end payroll activities, including W-2 preparation and reporting.
Administer and maintain payroll functions within ADP.

Qualifications

Required
Minimum 3 years of payroll administration experience with ADP.

Preferred

Experience preparing and submitting certified payroll reports.
HR administration or onboarding experience.

Prior administrative experience.
Excellent organizational and time-management skills.
High level of accuracy and attention to detail.
Proficiency with Microsoft Office, including Excel, Word, and Outlook.
Ability to maintain confidentiality and handle sensitive employee information.
