Job Overview

We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. This energetic role is perfect for someone who thrives in a fast-paced environment, possesses excellent communication skills, and enjoys providing exceptional support to colleagues and clients alike. As an Office Assistant, you will be the first point of contact for visitors and callers, manage administrative tasks, and ensure the office functions efficiently. Your proactive approach and attention to detail will contribute significantly to our positive workplace atmosphere and overall productivity.

Duties

Greet visitors, clients, and vendors with professionalism and warmth at the front desk, ensuring a positive first impression
Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately using proper phone etiquette
Handle data entry tasks using Microsoft Office Suite, Google Workspace, and other office management software with accuracy and efficiency
Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents and records
Assist with calendar management, scheduling appointments, meetings, and coordinating events for staff members
Support bookkeeping activities by tracking expenses, processing invoices, and managing petty cash using QuickBooks or similar accounting tools
Perform clerical duties such as proofreading documents, preparing correspondence, and managing office supplies inventory
Provide customer support by addressing inquiries promptly and professionally in person or via phone or email
Support administrative projects including proofreading reports, updating databases, and assisting with special assignments as needed

Experience

Prior office experience in a clerical or administrative role is highly preferred
Proven ability to manage multi-line phone systems effectively while maintaining excellent customer service skills
Bilingual proficiency is a plus to assist diverse clients and team members effectively
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools
Experience with office management tasks such as filing systems, calendar coordination, and document proofreading
Knowledge of bookkeeping software like QuickBooks or similar is advantageous
Demonstrated organizational skills with the ability to prioritize tasks efficiently in a busy environment
Excellent phone etiquette coupled with strong time management skills to handle multiple responsibilities seamlessly
