Full Job Description

Overview

Join our dynamic finance team as an Accounts Payable Specialist and become a vital part of ensuring our company's financial integrity and operational efficiency. In this role, you will manage the end-to-end accounts payable process, ensuring timely and accurate payment of invoices while maintaining compliance with financial policies and regulations. Your expertise will help streamline financial operations, support vendor relationships, and uphold the highest standards of accuracy and confidentiality.

This will be a flexible role. Your job will entail collections, payables, coordination with management for various administrative tasks, and organizing files/paperwork. This is a administrative assistant role as much as it is an AR/AP role. We need confidence and competence above all. You can be a college graduate or someone with decades of work experience, we do our best to judge character and potential, not just qualifications.

Running business related errands is necessary for us, such as; picking up parts for a job to deliver to our techs, picking up checks/dropping off checks, and other minor tasks away from the office. We have a company vehicle you may use.

Must have a valid driver's license and reliable transportation.

Experience doing certified payrolls is a bonus for us.

Duties

Verify invoice details against purchase orders, contracts, and receipt records to confirm legitimacy and proper authorization.
Perform account reconciliations for accounts payable ledgers, identifying discrepancies and resolving issues promptly.
Prepare and review journal entries related to accounts payable activities, including accruals and adjustments.
Maintain detailed records of all transactions while ensuring compliance with SOX (Sarbanes-Oxley Act) controls for financial reporting accuracy.
Manage vendor relations by responding to inquiries, resolving payment issues, and maintaining up-to-date vendor information in systems like Paychex or ADP.
Assist with month-end closing processes by reconciling general ledger accounts related to payables and supporting audit requests with detailed documentation.

Skills

Strong understanding of accounting principles such as GAAP (Generally Accepted Accounting Principles) and double-entry bookkeeping.
Proficiency with financial software including QuickBooks,
Experience with accounts payable automation tools and invoice processing workflows to improve efficiency.
Knowledge of payroll management systems like ADP or Kronos is a plus for handling related data entry tasks.
Excellent analysis skills with the ability to perform Excel data analysis using formulas like VLOOKUP, SUMIF, and pivot tables.
Ability to perform detailed account reconciliation, journal entries, and maintain accurate records under tight deadlines.

Pay: $25.43 - $32.65 per hour
