Main Purpose of Job

This position reports directly to the State Fire Marshal. This position serves as a personal secretary and assistant to the State Fire Marshal. The primary purpose of this position is to perform administrative support work and act as the point of contact between the Fire Marshal and internal and external clients. This position supervises lower-level clerical employees.

POSITION DUTIES

Interprets administrative decisions and policies to other members of the staff and transmits orders and instructions with the authority of the Fire Marshal;

Acts as an intermediary for the Fire Marshal, maintaining frequent contacts with public and private executives, professional staff and other officials;

Relieves the Fire Marshal of operational details by composing correspondence, assembling, compiling and summarizing data into a concise form;

Provides information to callers in regard to laws, rules, regulations and procedures governing the agency's operations;

Maintains important and confidential records, schedules, expense accounts and office supplies;

Proofreads and signs outgoing correspondence and reviews records and for completeness and accuracy;

Reads reports and summarizes information to facilitate the supervisor's review;

Supervises and provides guidance to lower level clerical employees.

Performs other related duties as assigned by the Fire Marshal.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Six years performing administrative or secretarial work involving typing duties.

Note: Thirty credit hours from and accredited college or university may be substituted at the rate of thirty credits for one year of experience for up to four years of the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preferred Qualifications:

1. Experience in Windows based operating systems; preferably Windows 10.

2. Experience with Microsoft products (Word, Excel, PowerPoint).

3. Experience with Google products (Docs, Sheets, Slides).

4. Experience taking meeting "minutes".

5. Experience completing and sending correspondence for and Executive/Commander.

SELECTION PROCESS

The selection process for this recruitment will involve a rating of the training and experience provided on the application. Applicants who meet the minimum qualifications will be placed on an eligible list in the BEST QUALIFIED, BETTER QUALIFIED, and QUALIFIED categories. The list will be used by the hiring manager to select the individual to fill this vacancy. The list will be valid for one year.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training and experience related to the requirements of the position. You may be required to complete a qualifications supplement, or the rating may be based on your application. Report all experience and education that is related to this position. Applicants may be given a physical examination and will be subject to an interview, background investigation, polygraph examination and substance abuse testing.
