Full Job Description

Sterling & Associates Real Estate & Property Management is a growing real estate and property management company serving Central Texas. We are looking for a highly organized, professional, and dependable Executive Administrative Assistant to support the Broker/Owner and assist with day-to-day business operations.

This position is ideal for someone who enjoys keeping people organized, managing details, supporting a busy office, and helping a growing real estate company run smoothly.

Position Summary

The Executive Administrative Assistant will provide direct administrative support to the Broker/Owner, assist with staff meetings, manage communications, support marketing efforts, help maintain business systems, and provide light bookkeeping and operational support.

The ideal candidate is organized, proactive, professional, detail-oriented, and comfortable working in a fast-paced real estate office environment.

Key Responsibilities

Executive Support

Manage the Broker/Owner’s calendar, appointments, and schedule.

Monitor and manage the Owner’s email inbox, including organizing, prioritizing, and helping ensure timely responses.

Prepare for staff meetings, including agendas, training materials, handouts, and follow-up items.

Track action items from meetings and help ensure follow-through by the appropriate team members.

Real Estate & CRM Support

Provide administrative support for real estate listing activity, including helping gather showing feedback, organize listing updates, and communicate relevant information to the Broker or appropriate team members.

Maintain accurate client, lead, and contact information within the company’s CRM system. Experience with Follow Up Boss or similar CRM platforms is a plus.

Assist with organizing client follow-up, updating contact records, tracking lead status, and supporting consistent communication with clients, agents, and prospects.

Review real estate candidate applications through Indeed and schedule appointments with qualified candidates.

Assist with onboarding new real estate agents and offboarding agents as needed.

Marketing & Client Communication

Schedule social media posts and organize marketing content.

Assist with monthly e-newsletters, blogs, and email blasts.

Respond to social media comments, messages, and Google reviews in a professional and brand-appropriate manner.

Help purchase and coordinate client gifts and staff appreciation gifts.

Canva knowledge is a plus.

Bookkeeping & Administrative Operations

Perform light bookkeeping duties, including running financial reports, balancing bank statements, and submitting payroll timesheets to the CPA.

Track reimbursements and invoicing.

Manage business contracts and renewal dates.

Maintain vendor and contractor lists.

Help keep office systems, records, and business information organized and current.

Experience

Proven experience as an executive administrative assistant or in a similar clerical or office management role
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are highly desirable to assist diverse client needs
Demonstrated customer service expertise with a professional demeanor and effective communication skills
Familiarity with multi-line phone systems, office equipment, and basic bookkeeping using QuickBooks or similar software
Ability to prioritize tasks effectively while maintaining attention to detail and accuracy
Experience in proofreading documents to ensure grammatical correctness and clarity
