Job Summary

We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and technical proficiency will ensure smooth office management, efficient data entry, and seamless communication across departments. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a positive and productive workplace environment.

Responsibilities

Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using professional phone etiquette.
Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and attention to detail.
Maintain office supplies inventory, coordinate with vendors, and oversee general office organization to support daily operations.
Perform data entry tasks using spreadsheets and productivity software such as Microsoft Office applications, ensuring accuracy and confidentiality.
Assist with clerical duties including proofreading documents, scheduling appointments, and managing calendars.
Support office management tasks by coordinating meetings, preparing reports, and maintaining organized records.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software.
Strong computer literacy with the ability to quickly adapt to new technical tools like QuickBooks or specialized office management systems.
Excellent organizational skills with a keen eye for detail in data entry, proofreading, and document management.
Effective communication skills in both verbal and written form; bilingual abilities are a plus for client interaction.
Experience with multi-line phone systems and phone communication best practices.
Demonstrated customer service skills with a friendly demeanor and professional phone etiquette.
Prior office experience or administrative background that showcases time management, productivity, and clerical expertise.
