We are looking for a Project Manager who is organized, calm under pressure, relationally strong, detail-oriented, and comfortable managing multiple moving pieces at once.
Position Summary
The Project Manager is responsible for managing painting projects from sales handoff through final closeout. This person serves as the main bridge between the client, sales team, crews, office/admin team, vendors, and leadership.
This role owns the production side of the client journey, including job onboarding, scheduling, crew coordination, client updates, job site visits, quality control, paint/material ordering, change orders, job costing, closeout documentation, and final walkthroughs.
The right person for this role does not wait to be told what to do. They see what needs to happen, communicate clearly, solve problems early, and make sure projects move smoothly from start to finish.
What You’ll Be Responsible ForProject Onboarding & Production Setup
Once a project is sold, you will be responsible for making sure it is properly transitioned into production.
This includes:
- Reviewing newly sold jobs and understanding the full scope of work
- Conducting client onboarding calls
- Confirming project details, colors, timelines, access notes, and expectations
- Entering and organizing job details in the proper systems
- Updating the production pipeline
- Scheduling projects and assigning start dates
- Sending start date texts and emails to clients
- Preparing work orders, checklists, and production paperwork
- Making sure nothing gets lost between the sale and production
Client Communication & Customer Experience
You will serve as one of the main points of contact for clients during the production process.
This includes:
- Keeping clients updated before, during, and after their project
- Communicating clearly about schedules, start dates, weather delays, colors, scope changes, and job progress
- Answering client questions professionally and promptly
- Managing expectations before problems become frustrations
- Handling concerns with calmness, ownership, and solutions
- Scheduling and coordinating final walkthroughs
- Making sure every client feels informed, cared for, and respected
Scheduling, Crew Coordination & Field Execution
You will be responsible for helping keep production moving efficiently in the field.
This includes:
- Building and maintaining the production schedule
- Assigning jobs to the right crews based on scope, availability, and fit
- Communicating project expectations clearly to crews
- Creating and sending work orders
- Coordinating crew start dates and job details
- Handling day-to-day crew communication
- Addressing job site issues as they come up
- Coordinating crew payments/check pickup when needed
- Keeping jobs moving without unnecessary delays or confusion
Job Site Management & Quality Control
This is not a desk-only role. You will be expected to visit job sites, inspect progress, communicate with crews, and protect quality.
This includes:
- Conducting job site check-ins during active projects
- Reviewing quality, progress, cleanliness, and client satisfaction
- Catching issues early before they become bigger problems
- Making sure crews are following the approved scope of work
- Confirming prep work, paint application, touch-ups, and final details
- Scheduling and performing final walkthroughs
- Ensuring punch list items are completed properly
- Helping projects close out cleanly and professionally
Paint Orders, Materials & Change Orders
You will help ensure crews have the materials, paint, and information needed to complete the job correctly.
This includes:
- Creating and sending paint orders
- Coordinating paint and material pickups when needed
- Making sure paint orders match the job scope, colors, sheens, and schedule
- Confirming color selections and placements with clients
- Handling client-requested changes during production
- Creating and documenting change orders
- Communicating pricing or scope adjustments internally and externally
- Making sure all approved changes are reflected in job notes, work orders, and crew instructions
CRM, Systems & Administrative Accuracy
A major part of this role is keeping the company’s systems clean, current, and accurate.
This includes:
- Updating the CRM and production pipeline consistently
- Keeping job notes, statuses, documents, photos, and records organized
- Uploading required forms, checklists, photos, and closeout documentation
- Maintaining accurate project records
- Notifying the team when key updates or uploads are completed
- Making sure leadership has visibility into where each job stands
Financial Tracking & Job Costing
You will help protect job profitability by tracking production-related financial details.
This includes:
- Completing weekly job costing administration
- Tracking labor, materials, change orders, and production costs
- Monitoring job budgets and financial performance
- Helping track accounts receivable, pending balances, and closeout payments
- Submitting weekly production and cash flow updates
- Alerting leadership when a job is at risk of losing profitability
- Helping the company understand what money is coming in, going out, and pending
Marketing & Job Closeout Support
Finished jobs are a major opportunity for reviews, referrals, photos, videos, and future marketing. You will help make sure completed work is captured and documented.
This includes:
- Capturing or coordinating final job photos and videos
- Helping secure reviews and testimonials when appropriate
- Supporting Brand Ambassador closeout items
- Making sure completed jobs are properly documented
- Uploading final project photos and closeout materials
- Ensuring jobs are fully closed out from both a production and marketing standpoint

- Ability to read scopes of work and translate them into clear crew instructions
- Strong attention to detail with paperwork, job notes, colors, materials, and scheduling
- Ability to handle difficult conversations with professionalism
- Valid driver’s license and reliable transportation
- Willingness to visit job sites throughout the week
Painting or construction experience is strongly preferred, but the most important qualities are ownership, organization, communication, and follow-through.
