Job Summary
The Proposal Coordinator – Mission Critical Division is responsible for managing the development, coordination, and submission of competitive proposals for mission critical and data center construction projects. This role partners closely with estimating, preconstruction, operations, and business development teams to develop high-quality, compliant proposals while ensuring deadlines are met and the company's technical expertise, safety culture, and project experience are effectively communicated to clients.
Key Responsibilities
Proposal Development
- Lead and coordinate all phases of the proposal lifecycle for mission critical and data center projects, from opportunity identification through final submission, ensuring timely, accurate, and compliant responses.
- Analyze bid documents (RFPs, RFQs, ITBs, and RFIs) to identify project requirements, evaluation criteria, technical specifications, and submission instructions.
- Write, edit, and format proposal content, including executive summaries, technical narratives, project experience, personnel qualifications, schedules, and safety information tailored to each opportunity.
- Collaborate with operations, preconstruction, estimating, business development, project management, and subject matter experts to develop compelling, client-focused proposal responses.
- Track solicitation amendments, addenda, and client communications, incorporating revisions into proposal documents as needed.
- Ensure proposal content reflects the company's mission critical capabilities, safety culture, quality standards, technical expertise, and competitive differentiators.
Production and Submission Logistics
- Coordinate the production and delivery of both electronic and hard-copy proposal submissions, ensuring all deadlines, formatting requirements, and submission instructions are met.
- Manage proposal schedules, internal review deadlines, and deliverables while coordinating with multiple departments to ensure timely completion.
- Support pre-bid activities, including registration for pre-bid meetings, site visits, bid portal management, submission of RFIs, and required qualification documentation.
Data and Content Management
- Request, track, and organize technical information, project data, resumes, safety statistics, certifications, and supporting documentation from internal teams and external partners.
- Maintain proposal libraries, project profiles, resumes, boilerplate content, and templates with proper version control and document management practices.
- Manage company qualifications, certifications, prequalification packages, and registrations across public and private procurement platforms, client portals, and vendor management systems.
Process Improvement and Strategy
- Participate in the continuous improvement of proposal development processes by creating standardized templates, improving workflows, and implementing best practices.
- Assist in maintaining proposal metrics, tracking win/loss data, and identifying opportunities to improve proposal quality and efficiency.
- Develop and maintain a strong understanding of mission critical construction, including data centers, industrial facilities, electrical and mechanical infrastructure, commissioning requirements, and fast-track delivery methods to effectively communicate the company's expertise and value to clients.
Qualifications
- Associate's or Bachelor's degree in Construction Management, Engineering, Business, Communications, or a related field preferred, or equivalent combination of education and experience.
- General knowledge of commercial, industrial, or mission critical construction; prior experience in the construction industry is preferred.
- Coursework or formal education in Construction Management is highly desirable.
- Ability to read and interpret construction drawings, specifications, and contract documents.
- Experience formatting, organizing, and delivering professional written scopes of work, proposal narratives, and technical documentation.
- Strong technical writing, editing, proofreading, and document formatting skills with exceptional attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Adobe Acrobat and proposal management software is a plus.
- Excellent organizational, time management, and project coordination skills with the ability to manage multiple deadlines simultaneously.
- Strong communication and interpersonal skills with the ability to collaborate effectively with estimating, operations, project management, preconstruction, and business development teams.
- Self-motivated with the ability to work independently in a fast-paced, deadline-driven environment while maintaining accuracy and professionalism.
