Full Job Description

THIS IS AN 18+ MO CONTRACT ROLE

MAX RATE: $19HR

Provides administrative and clerical support while coordinating general office activities. Responsibilities may include gathering and compiling data, preparing reports, responding to requests for information, greeting visitors, coordinating travel arrangements, arranging calls, and scheduling meetings. Works within established guidelines under general supervision.

Key Responsibilities

Provides professional administrative support to a group of employees under the direction of leaders and colleagues.
Assists with meeting logistics, including booking conference rooms, ordering food and beverages, coordinating visitor requests, escorting guests, and ensuring meeting supplies are available.
Receives, screens, and directs incoming calls, visitors, and mail. Prepares reports in accordance with established procedures and guidelines.
Demonstrates strong listening skills, follows directions, and exercises sound judgment in completing assignments.
Applies effective problem-solving skills, demonstrates initiative, and can be relied upon to complete assigned tasks independently.
Serves as a point of contact for office equipment and assists with basic troubleshooting. Utilizes available training resources to expand knowledge and skills.
Researches travel options, including flights, hotels, and rental cars, and may coordinate routine travel arrangements. Assists with miscellaneous office-related errands as needed.
Schedules and reschedules meetings based on team and leadership needs.
Uses business software applications and remains current on evolving technologies, including Microsoft Office products.
Collects and organizes receipts, prepares expense reports, maintains office supply inventories, and orders supplies as needed.
Promotes a safe work environment by adhering to organizational safety policies and encouraging safe work practices.
Completes assigned tasks from start to finish within established timelines. Seeks clarification when needed and adapts effectively to changing priorities.
Maintains productivity and quality standards while identifying opportunities to improve efficiency and anticipate future needs.
Communicates clearly and effectively with colleagues, builds positive working relationships, and keeps stakeholders informed of work status.
Demonstrates teamwork, professionalism, and a commitment to continuous learning and development.
Exercises independent thinking while understanding team goals and individual responsibilities.
Focuses on personal growth, makes sound decisions, and treats all individuals with respect.
Demonstrates proficiency with workplace software and information systems. Troubleshoots standard office equipment issues and effectively utilizes integrated business systems.

Required

Bachelor’s degree

1-3 years of relevant experience in administrative support, clerical services, office coordination, customer service, or a related field.

Technical Skills

Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
Ability to learn and utilize business systems and office technologies effectively.
